Job Summary
The On-Site Supervisor position focuses on the oversight of the team, production and ensuring various contract terms and company goals are met. Based on the needs of the facility, the On-Site Supervisor will generate relevant reports, and be able to understand and use those reports to determine if the work is on target. The On-Site Supervisor will work with the Manager to help develop processes and assist with maintaining workflow. They will take responsibility for day to day operations.
This position is located at a large health system and is primarily Monday - Friday on first shift.
Room for possible advancement and growth, with eventual oversight of multiple locations.
Responsibilities and Duties
- Plan, organize, prioritize, problem solve, and execute in equal measure to meet goals and achieve results that meet contractual turn around time (TAT) and quality guidelines.
- Guide and supervise all on site Cardone Record Service (CRS) personnel.
- Interview, hire and train.
- Monitor productivity goals.
- Identify and implement workflow enhancements.
- Maintain equipment and troubleshoot with IT as needed.
- Edit timesheets & approve payroll, as well as, employee requests for time off.
- Enforce company policies and procedures to ensure they are being followed.
- Maintain and order supplies.
- Communicate problems, potential problems, and status reports to customer(s) and CRS through verbal communications, phone calls, or email.
- Escalate unresolved issues to the Manager.
- Serve as a liaison between CRS and it’s customers.
- Maintains employee annual compliance, mandatory per facility requirements, ie: HIPAA training, safety training, influenza vaccine etc.
- Perform periodic workload assessments to verify or update staff projections and scheduling.
- Assess labor costing.
- Conduct annual performance evaluations.
- Administer disciplinary actions as needed.
- Maintain monthly site specific reports and submit to Manager as scheduled.
- Organize and lead staff meetings.
- Attend scheduled meetings with customers.
- Understand all hands on processes and perform as needed to cover for staffing shortages, absences and / or in times of high workloads.
- Conduct quality assurance checks and audits.
Qualifications and Skills
- Previous supervisory/management experience - required.
- Health Information (Medical Record) experience or physician office experience - required.
- High school graduate or GED - required; college graduate - strongly preferred.
- Proficient technical aptitude.
- Knowledge of hospital medical records department processes, workflow & medical terminology - preferred.
- Strong communication skills both written and verbal with the ability to adjust message according to audience.
- Ability to work within, foster and grow a strong team environment.
- Working knowledge of MS Office (Word, Excel, etc.).
- Ability to use all components of a computer extensively.
- Ability to cope in fast paced environment.
- Displays courteous and professional manner through interaction, appearance, attitude, and written and oral communication with co-workers and the public.
- Protect and maintain the confidentiality of patient’s medical records and patient information.
- Handle patient information with discretion and integrity.
- Lift and move boxes up to 40 lbs.

Pay: $50,000.00 - $55,000.00 per year
