Cardinal is a well-established civil engineering and land surveying firm rooted in Lake Geneva, WI. We are known for delivering high-quality, efficient service with a personal, community-first touch.
Position Overview
The Administrative Assistant is typically the first and last person our clients interact with. They are responsible for communicating positively and professionally with clients, potential clients, employees and potential employees as they navigate through our incoming and outgoing projects and processes, playing a key role in maintaining organization, communication and efficiency across the organization.
Your Responsibilities Will Include:
- Project & Task Management: Communicate daily with the respective Project Managers and Administrative Manager on project status, tasks and needs. Receive and review new intakes.
- Administrative & Organizational Duties: Manage company-wide communications (email, calendar, and internal chat); Answer and route incoming phone calls; Greet and assist clients and visitors; Monitor and distribute incoming mail and shipments; Prepare and send prints, packages and documentation; Maintain organized digital and physical filing systems; Order and maintain office supplies; Run business-related errands as needed; Submit daily time entries in Big Time.
- Meetings & Professional Engagements: Attend weekly staff meetings and other meetings as needed and be prepared; Attend quarterly and annual company meetings; Professional communication with clients and contractors as needed.
- Client & Contractor Communications: Monitor incoming project requests (Google Forms, email, phone); Maintain and update the Intake/Proposal Log; Follow up with clients on proposals and outstanding items; Communicate professionally with clients and contractors throughout project lifecycle.

Rate: $15 - $17 per hour based on experience
