Pre-Production Coordinator (Construction / Insurance Restoration)

Position Summary
Cardinal Contractors LLC is seeking a detail-driven Pre-Production Coordinator to ensure every signed contract is complete, accurate, and financially sound before a project moves into production. This role is critical to protecting company profitability by reviewing scope, pricing, and documentation; obtaining third-party subcontractor estimates; and preparing insurance supplements to ensure all work is fully covered before scheduling begins.
What You’ll Do:
Contract & Job File Review
- Review signed contracts and job files for accuracy, completeness, and compliance with company standards
- Verify scope of work, pricing, deductibles, upgrades, and payment terms
- Ensure jobs meet required gross profit margin targets prior to release to production
- Identify discrepancies, missing documentation, or financial risks and resolve quickly
Subcontractor & Third-Party Estimates
- Obtain and review estimates from approved subcontractors (gutters, siding, paint, specialty trades, etc.)
- Compare subcontractor pricing against insurance scope and market standards
- Ensure subcontractor costs support job profitability goals
- Maintain organized records of all third-party bids, approvals, and documentation
Insurance Supplements & Documentation
- Prepare and submit insurance supplements for additional or uncovered work
- Ensure supplements include proper justification, documentation, and company markup
- Communicate with insurance adjusters as needed to support approvals
- Track supplement status and update job files accordingly
Financial & Operational Coordination
- Work closely with sales, estimating, production, and accounting teams to resolve job discrepancies
- Confirm all required approvals are obtained before scheduling and production release
- Maintain accurate job documentation within the company CRM and project management systems
- Support continuous improvement of pre-production workflows and controls
Qualifications
- 2 years experience in roofing, construction, insurance restoration, or pre-production coordination
- Strong understanding of insurance claims, scopes of work, supplements, and construction pricing
- Experience working with subcontractors and vendor estimates
- High attention to detail with excellent organizational skills
- Ability to analyze costs, margins, and profitability
- Proficient with CRM systems and Google Workspace (Xactimate preferred)
- Strong written and verbal communication skills

- Xactimate proficiency
- Knowledge of residential and/or commercial roofing systems
- Experience working directly with insurance carriers and adjusters
- Ability to manage multiple projects simultaneously and meet deadlines
