Project Controls & Compliance Coordinator Responsibilities:
- Support the setup and maintenance of project and contract records within company systems
- Track customer and vendor contracts to ensure all required documentation and approvals are completed
- Review contract documentation for accuracy, completeness, and proper execution
- Ensure contract details (scope, value, timelines) are correctly reflected in systems
- Monitor project workflows to ensure required steps, approvals, and documentation are completed
- Follow up with stakeholders to resolve missing or incomplete information
- Help ensure projects are properly set up before execution and maintained throughout the lifecycle
- Provide visibility into project status, outstanding items, and risks
- Maintain accurate and up-to-date project, contract, and financial data within ERP and related systems
- Ensure all system entries are properly supported by approved documentation (contracts, purchase orders, change orders, etc.)
- Review data for completeness, accuracy, and consistency across systems and trackers
- Identify and resolve discrepancies between system data, contracts, and project records
- Assist with tracking budgets, commitments, and contract values within the ERP
- Partner with Finance and Accounts Payable to confirm invoices align with contract terms and system records
- Help identify discrepancies between invoices, contracts, and system data
- Support basic reporting and tracking of project financials
- Work closely with Legal and Project Managers to ensure accurate project setup and ongoing data maintenance
- Partner with Procurement and Vendor teams to ensure contract alignment and system accuracy
- Coordinate with Finance on data validation, reporting, and issue resolution
- Communicate clearly on data gaps, inconsistencies, and required actions
- Maintain organized and audit-ready digital records supporting all system entries
- Support standardization of data entry, documentation, and workflows
- Help improve data quality, consistency, and system usage across teams
- Participate in process improvements related to systems and project tracking
Salary : $75,000 - $100,000
