I. Summary –
The Scale House Attendant / Office Assistant plays a key role in supporting daily aggregate operations by managing truck scale transactions, customer interactions, office administration, and communication between field and office personnel. This position serves as the primary point of contact for drivers, customers, vendors, and visitors while ensuring accurate recordkeeping and efficient office operations. The ideal candidate is organized, customer-focused, detail-oriented, and capable of handling multiple responsibilities in a fast-paced environment.
II. Essential Functions –
Scale House Operations
- Operate Scale House computer system to accurately weigh and ticket trucks.
- Monitor truck and customer activity and maintain accurate records of all sales transactions.
- Communicate with drivers and loader operators using CB and two-way radio systems.
- Verify load information and ensure accurate documentation of inbound and outbound materials.
- Maintain records and reports related to daily scale operations.
Front Desk & Office Duties
- Assure readiness of the office area for each working day by opening the facility and preparing front desk operations.
- Welcome visitors and provide professional customer service in person and over the telephone.
- Direct inquiries and relay information to appropriate personnel.
- Accept deliveries, sort and distribute incoming mail, packages, and correspondence.
- Maintain filing systems, inventory records, mailing systems, and databases.
- Coordinate communication between departments and distribute reports as needed.
- Assist with data entry and general office administration.
- Secure the building at the close of each working day.
Administrative Support
- Maintain accurate records and documentation.
- Assist with report preparation and business correspondence.
- Support various departments with administrative tasks as assigned.
- Participate in staff meetings and educational programs.
- Contribute to team objectives by performing related duties as needed.
Compliance & Confidentiality
- Maintain a safe and clean work environment by following company procedures and safety guidelines.
- Respect and maintain confidentiality of employee, customer, and vendor information at all times.

III. Job Requirements -
Qualifications
- High School Diploma or GED required.
- Intermediate knowledge of Microsoft Outlook, Word, and Excel.
