Part-Time Office & Project Coordinator

Cardiff Custom Construction is seeking a Part-Time Office & Project Coordinator role to support administrative operations, documentation, and internal follow-through. This person would help create structure, keep tasks from slipping through the cracks, and support both office and project coordination needs. The goal is to take important but lower-leverage tasks off leadership's plate so the business can continue growing efficiently.
This role is best suited for someone local, organized, dependable, and comfortable working in a small business environment where communication and initiative matter. The right candidate will be confident with QuickBooks, able to learn new systems quickly, and capable of helping bring order to processes, checklists, scheduling, and day-to-day coordination.
Key Responsibilities
- Procure permits and help track permit status for active and upcoming projects
- Coordinate with municipalities, offices, and internal team members to support the permitting process
- Manage and maintain the company's lead CRM system and database
- Keep lead information accurate, organized, and up to date
- Prepare reports for leadership related to operations, leads, and project follow-up
- Help organize and manage post-project audit and review meetings
- Track action items and follow-up tasks coming out of review meetings
- Facilitate planning and setup for networking events hosted at the Cardiff office
- Support event logistics, scheduling, preparation, and coordination
- Assist with internal organization, documentation, and general office support
- Help improve consistency in recurring administrative processes
- Provide reliable follow-through on important tasks that support company growth
- Maintain up-to-date vendor and subcontractor records, including certificates of insurance (COIs) and W-9 requests
Qualifications
- Previous administrative, office coordination, operations, or project support experience preferred
- Strong organizational skills and excellent attention to detail
- Able to manage multiple priorities and follow tasks through to completion
- Comfortable handling permitting-related coordination and communication
- Experience managing CRM systems or databases preferred
- Strong written and verbal communication skills
- Professional, dependable, and proactive
- Comfortable working in a small business environment where teamwork matters
- Construction industry experience is a plus
- Local to the Richmond area and able to commute to the office as needed
- Experience with Buildertrend or similar construction/project management software preferred
Pay and Benefits
- Part-time schedule
- Pay: $24 to $28 per hour, depending on experience
- Hours and exact schedule to be discussed based on company needs and candidate availability
