About the Role
As a Procedure Scheduler, you will serve as a central hub of coordination for hospital-based cardiac procedures. You’ll be responsible for managing procedure scheduling, providing patients with preparation instructions, and ensuring accurate documentation within the electronic medical record (EMR). Your role supports a wide variety of cardiac interventions, and you’ll be an essential communication link between physicians, patients, and hospital departments.
This is an in-office, non-clinical position that requires a high level of attention to detail, organizational skills, and a compassionate, patient-first approach.
Day-to-Day Responsibilities
Hospital Procedure Coordination

Schedule all hospital cardiac procedures including (but not limited to):

Cardiac catheterizations
-
PCIs, ICD/pacemaker implants, generator changes

Electrophysiology studies
-
Loop recorder implants/removals, TEEs, cardioversions

Watchman, AARO, PFO/ASD closures
-
TAVR, LVAD work-ups
-

Update physicians on upcoming schedules and changes via TigerText
-
Start a note in the EMR for each scheduled procedure
Patient Communication

Send written instructions and preparation materials to patients in advance

Maintain patient confidentiality and professionalism in all communications

Serve as a centralized, friendly point of contact for patient questions
Administrative & Team Support

Keep internal staff updated on any scheduling changes

Support additional tasks such as:

Backing up the Appointment Desk
-
Assisting with referral queues
-
Covering nurse assistant responsibilities like triage call routing, cardiac clearances, and lab letters

What You’ll Need to Succeed
Qualifications
-
High School Diploma or GED required
-
Minimum 6 months of medical office experience required
-
Previous experience in cardiology or scheduling hospital procedures is highly preferred
-
Strong ability to multitask and prioritize in a fast-paced environment

Excellent interpersonal and communication skills
-
Familiarity with EMR systems and basic healthcare terminology

Knowledge of insurance plans and referral processes is helpful
