Responsibilities

  • Greet visitors warmly and professionally, directing them appropriately while maintaining a positive first impression.
  • Manage multi-line phone systems with courteous phone etiquette, screening calls and transferring them accurately.
  • Handle incoming correspondence, including emails, mail, and packages, ensuring timely distribution.
  • Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office for efficient record keeping.
  • Perform data entry tasks with accuracy, including updating databases and managing client or patient information.
  • Schedule appointments, manage calendars, and coordinate meetings for staff members or executives with precision.
  • Assist with office management duties such as ordering supplies, organizing documents, proofreading communications, and supporting daily operations.
  • Provide clerical support including typing documents, proofreading reports, and preparing presentations as needed.
  • Support bookkeeping activities using QuickBooks or similar accounting software when necessary.
  • Offer exceptional customer support by addressing inquiries promptly and professionally in person or over the phone.
  • Maintain confidentiality of sensitive information while demonstrating excellent organizational skills and time management.
  • Support specialized roles such as medical or dental receptionist tasks if applicable, including patient check-ins and appointment confirmations.
  • Perform additional administrative duties that contribute to the overall efficiency of the office environment.

Skills

  • Proven experience in office administration or clerical roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Excellent computer literacy with familiarity in data entry, proofreading, filing systems, and document management.
  • Strong customer service orientation with exceptional phone etiquette skills across multi-line phone systems.
  • Ability to communicate effectively in bilingual settings (fluency in two languages is a plus).
  • Experience with front desk operations in car dealerships preferred but not required
  • Knowledge of QuickBooks or bookkeeping software is preferred for handling financial tasks accurately.
  • Demonstrated ability to manage calendars efficiently using calendar management tools; prioritize tasks effectively through time management skills.
  • Familiarity with office management procedures including supply ordering and record keeping.

Job Type: Full-time

Pay: $750.00 - $850.00 per week
