Overview
We are seeking a proactive and organized Office Assistant to join our team. This role is essential in maintaining smooth office operations, providing excellent customer service, and supporting administrative functions. The ideal candidate will possess strong computer skills, office management experience, and excellent communication abilities. Bilingual skills are a plus to serve diverse client needs. This position offers an opportunity to work in a dynamic environment where attention to detail and organizational skills are highly valued.

Responsibilities

  • Manage front desk operations, including greeting visitors and handling inquiries
  • Answer multi-line phone systems with professionalism and courtesy, practicing proper phone etiquette
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Utilize Microsoft Office Suite and Google Workspace for correspondence, scheduling, and documentation
  • Assist with calendar management and appointment scheduling for staff or clients
  • Support bookkeeping tasks using QuickBooks or similar software as needed
  • Provide customer support via phone, email, or in person, ensuring high levels of satisfaction
  • Handle administrative duties such as typing reports, managing office supplies, and maintaining organized files
  • Support office management tasks including organizing meetings and managing office logistics

Experience

  • Previous office experience or administrative support roles preferred
  • Familiarity with clerical tasks such as filing, data entry, and proofreading
  • Experience with Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Knowledge of QuickBooks or bookkeeping software is a plus
  • Customer service experience, especially in medical or dental reception settings such as dental or medical receptionist roles
  • Personal assistant or calendar management experience is advantageous
  • Bilingual abilities are highly desirable to assist diverse client interactions
  • Strong organizational skills with the ability to multitask efficiently and manage time effectively
  • Excellent communication skills including phone etiquette and customer support capabilities

Pay: $13.00 - $15.00 per hour
