What are the responsibilities and job description for the Executive Assistant / Bookkeeper position at Capstone Management?
We are seeking a highly organized, proactive, and trustworthy Executive Assistant / Bookkeeper to support a busy business owner and spouse. This unique position combines executive support, personal assistance, residential and commercial bookkeeping, and business operations coordination.
The ideal candidate is resourceful, detail-oriented, professional, and capable of managing multiple priorities with discretion and minimal supervision.
Responsibilities
- Manage calendars, appointments, travel, and schedules.
- Coordinate meetings, correspondence, and special projects.
- Interact with professional and elected officials, including U.S. Representatives, U.S. Senators, and the NH Governor, City Mayors, and their staff.
- Handle confidential business and personal matters.
- Process accounts payable, receivable and payroll
- Reconcile bank and credit card accounts.
- Maintain financial records using QuickBooks or similar software.
- Coordinate with vendors, contractors, and various service providers.
- Assist with business operations, property management, and administrative tasks.
- Provide personal assistance to a professional couple, including errands, reservations, and household coordination.
- Interact with and represent the couple at charitable organizations with whom philanthropic contributions are contemplated or have been made.
Qualifications
- 3 years of executive support, bookkeeping, military administrative, or related experience.
- Proficient with QuickBooks and other accounting software programs
- Strong organizational and time-management skills.
- Proficiency in Microsoft Office, OneDrive, iCloud, all aspects of Apple’s walled garden, and be able to troubleshoot with the executive as issues arise.
- Excellent communication and problem-solving abilities.
- Valid driver's license and reliable transportation.
- High level of professionalism, discretion, and integrity.
- Experience as a Military Aide to a MG is a plus.

Compensation: Competitive salary based on experience, comprehensive benefits and bonus opportunities.
Pay: $80,000.00 - $140,000.00 per year
