Capstone Design and Fabrication is seeking a highly organized and detail-oriented Office Coordinator to support daily administrative operations in a fast-paced design, fabrication, and finishing shop. Our work includes metal fabrication, welding, paint and body finishing, interior finishing, vinyl graphics, and custom-built products.
Job Summary
This role supports communication between customers, vendors, designers, and shop personnel, helping ensure smooth workflow, accurate documentation, and efficient coordination across fabrication and finishing operations. The ideal candidate is proactive, dependable, and comfortable working in an industrial environment while maintaining professionalism with clients, suppliers, and internal teams.
Responsibilities
Administrative & Office Support
- Manage incoming calls, emails, and customer inquiries
- Greet clients and vendors in a professional manner
- Maintain organized filing systems (digital and some paper)
- Prepare correspondence, reports, and shop documentation
- Maintain office and shop supplies
Customer & Project Coordination
- Track project timelines and update customers on job status
- Assist with coordinating final finishing stages prior to project completion
- Coordinate scheduling between customers and shop production
- Maintain accurate customer records and job files
Vendor & Inventory Support
- Communicate with suppliers regarding pricing, orders, and deliveries
- Track material orders and ensure proper documentation
- Assist in maintaining inventory records
Job Documentation & Production Coordination
- Assist with preparing and organizing job packets for production, including drawings, specifications, and project documentation
- Ensure fabrication and finishing teams have the latest drawings, revisions, and job information
- Maintain organized records of project files, drawings, and related documentation
- Maintain organized archives of completed project documentation for future reference
Qualifications
Required:
- High school diploma or equivalent
- 2 years of administrative or office support experience
- Strong organizational and multitasking skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Excellent written and verbal communication skills
Preferred:
- Experience in construction, manufacturing, fabrication, or finishing environments

Working Conditions
- Office setting within an active fabrication and finishing shop
- Regular interaction with shop personnel, customers, and vendors
- Working hours generally are Monday through Friday 7:30am – 4:30pm. Some overtime and weekend work may also apply on an as needed basis
- May require occasional lifting of office supply boxes (up to 25 lbs.)
- Position requires sitting most of the time, but may involve walking or standing for brief periods of time
Pay: $22.00 - $25.00 per hour
