Position Title: Financial Administrative Associate / Financial Customer Service Associate
Location: Schaumburg, IL

About the Role:

We are seeking a highly organized and customer-focused Financial Administrative Associate or Financial Customer Service Associate to support our financial advisors throughout the sales process and assist in growing their businesses. This key role is central to our success, ensuring our advisors can fully dedicate their efforts to their clients. By helping streamline tasks, you’ll create efficiencies that allow our advisors to focus on revenue-generating activities, ultimately contributing to the growth of the business.

Key Responsibilities:

Administrative Support to Financial Advisors:

  • Maintain and organize client case files, ensuring all documentation is up to date and accessible.
  • Handle case notes, process correspondence, and manage insurance/investment-related materials.
  • Manage the advisor’s calendar, scheduling follow-up appointments and ensuring timely communication with clients.
  • Answer and direct calls, providing excellent service to clients and prospects.
  • Support marketing efforts by managing client/prospect reservations for seminars, assisting in the preparation of seminar materials, and overseeing event mailings.
  • Track and expedite underwriting requirements, ensuring client information is up-to-date and complete.
  • Monitor Daily Status Reports (DSR) to ensure that any additional underwriting needs are promptly addressed.
  • Prepare policies and client communications for delivery.

Client Service Support:

  • Support financial advisors in the sales cycle, particularly for non-securities products, ensuring applications and policy changes are accurate and complete.
  • Meet with clients to complete non-securities insurance-related applications and facilitate policy changes.
  • Provide assistance with the conservation of existing business, reviewing insurance applications, conversions, and policy changes for accuracy.
  • Advise clients on changes to their non-securities products and manage service-related requests (address changes, loan requests, etc.).
  • Gather necessary information for client meetings, ensuring that all details are provided for comprehensive discussions.
  • Review insurance/annuity applications, ensuring completeness and accuracy, and assist in the return of missing information to the registered representative (RR).

Bonus Points If You Have...

  • 2 years of experience in a financial services, administrative, or customer service role.
  • A Bachelor’s Degree, preferably in a business-related field.
  • Proficiency with MS Office (Word, Excel, Outlook) and familiarity with financial services software.
  • Experience working with clients in a customer-facing role.
  • Ability to assess client needs and provide tailored solutions.
