Schedule Notes:8 – 4:30, but we are 24/7 and being present on all 3 shifts is expected. Flexibility is needed.

Duties:

The Supervisor, Admitting has responsibility for the daily operation of all registration activities (including patient check-in, insurance verification and point of service collections) for the Admitting department. Working under the direction of the Manager, Admitting-CHD, the Supervisor, Admitting will ensure that the department's established revenue cycle objectives are met. Other duties as assigned.
Supervises the daily activities of the admitting staff. Ensures accuracy, completeness and timeliness of department workflow.
Develops, implements and enforces departmental policies, procedures and standards in conjunction with the Manager.
Assure and maintain compliance with all Joint Commission, CMS and other regulatory standards & hospital / health system policies
Reviews and evaluates the quality and appropriateness of services provided by registration staff. Works in conjunction with the Enterprise Registration Quality Assurance Team to provide education to the staff.
Monitors the completion of all assigned Epic Prelude Patient Workqueues for the division and develops improvement strategies and education for registration staff
Monitors completion of billing edits in Epic Hospital Billing for the division and develops improvement strategies and education for registration staff.
Monitors all cash handling by staff according to department policy. Acts as the liaison to Finance for all cashiering, bank and daily deposit issues. Monitors and educates staff on all point of service collection activities.
Recruit, develop and retain a highly trained, experienced group of Registration Specialists and Certified Registration Specialists for the Admitting department. Disciplines and discharges staff in conjunction with the department Manager, as needed.
Oversees the on boarding of new employees, including 30 and 90-day New Hire Conversations. Evaluates staff on department specific competencies. Performs annual performance evaluations with direct reports.
Develops and maintains the department staffing schedule. Monitors overtime usage and uses LCD (low census day) appropriately to maintain and/or exceed budget targets. 13: Assists the Manager with any shared admitting duties across the Community Division, as needed.
Communication, Visibility and Education: Communicate effectively and increase the visibility of the Admitting departments throughout the health system by: Following the Performance Excellence Leader Accountability Bundle (LEM, 90-day action plans, Monthly Report Card, Monthly Meeting Model); Demonstrate by example compliance with work expectations and all hospital / health system policies; Develop other ways of communicating important information or Admitting objectives through SharePoint, e-mail, intranet or other means; Acts as an ambassador for the Froedtert & Medical College of Wisconsin Customer Service Standards. Demonstrate consistent improvement in customer service, staff satisfaction & support services surveys for the division. Effectively communicate with employees, peers, customers and superiors. Attend educational offerings, in-services, etc. that will enhance skills, maintain current knowledge base and fulfill CHAA requirements. Serve as a member and represent Admitting on a variety of hospital committees and workgroups.
Achieve cost savings through developing efficiencies with process improvement and increased use of information technology. Assess monthly financial reports and review budget variance justifications. Assist with the support of significant technology initiatives, assuring that the Admitting department is making efficient use of these new tools.

Skills:

A minimum of three years of progressive Registration, Admissions and Hospital Revenue Cycle experience is required.
Experience working in an Epic environment is preferred.
Knowledge of all aspects of Registration, as well as regulatory standards and laws associated with acute care facilities and integrated health care delivery systems.
Possess strong interpersonal, verbal and written communication skills.
Demonstrates professionalism, tact and diplomacy when working with the Medical Staff, outside organizations and other facility departments.
Must demonstrate strict attention to detail with ability to analyze data for effective and efficient outcomes.
Communication skills, organizational skills and in-depth knowledge of registration and scheduling processes are critical to success in this position.
Supervisor must possess excellent leadership skills including: coach mentoring skills, providing employees authority and accountability to reach full potential, recommending and implement enhancements to registration which improve revenue cycle, building a committed team.

Education:

High School or equivalent is required. Bachelor's Degree is preferred.
CHAA (Certified Healthcare Access Associate) is preferred.
