Position Summary:
The Medical Records Coordinator is a part time position. The hours are Monday-Friday 8:30am - 1:00pm, and some Saturdays 8:30am - 12:30pm. This person will be responsible for managing and organizing patient records and data in compliance with health regulations and company policies. This role ensures that all medical records related to imaging procedures are accurately filed, stored, and accessible. The coordinator will work closely with radiologists, technicians, and administrative staff to maintain the integrity and confidentiality of patient information.
Key Responsibilities:
- Data Management:
- Accurately manage patient records related to imaging procedures, ensuring all data is correctly entered into the system.
- Maintain and organize physical and digital medical records for imaging patients, ensuring quick access to files when needed.
- Compliance and Confidentiality:
- Ensure all medical records are stored in accordance with HIPAA regulations and company confidentiality policies.
- Ensure compliance with local, state, and federal regulations related to medical records management.
- Record Retrieval and Filing:
- Retrieve and prepare patient records for imaging procedures and consultations.
- Regularly update and file patient records and imaging results in the appropriate databases.
- Assist in locating and delivering past imaging results or reports upon request from medical professionals.
- Collaboration:
- Work closely with radiologists, technicians, and other medical staff to ensure proper and timely handling of patient data.
- Communicate with physicians, healthcare providers, and patients regarding the status of medical records when needed.
- Quality Control:
- Review and audit medical records for accuracy, completeness, and compliance with healthcare regulations.
- Identify and resolve any discrepancies or missing information in patient records.
- Data Entry and Documentation:
- Accurately input data into the electronic health record (EHR) system or radiology information system (RIS).
- Document patient consent, imaging reports, and other related information into the system.
- Customer Service:
- Provide excellent customer service to patients, families, and medical staff who need access to medical records or have questions related to imaging results.
Qualifications:
- High school diploma or equivalent required; associate's degree or certification in health information management (HIM) preferred.
- Previous experience working with medical records, preferably in an imaging or radiology setting.
- Strong knowledge of HIPAA guidelines, patient confidentiality, and medical records management.
- Familiarity with medical terminology, particularly in imaging and radiology.
- Proficiency with Electronic Health Records (EHR) or Radiology Information Systems (RIS).
- Excellent organizational skills and attention to detail.
- Ability to work efficiently under pressure while maintaining accuracy.
- Strong communication skills, both written and verbal.
- Ability to maintain confidentiality and handle sensitive information with discretion.
