Job Title: Administrative Team / Lab Analysis Support
Department: Laboratory Operations
Position Overview
We are seeking a detail-oriented and organized professional to join our Administrative Team / Lab Analysis Support group in a regulated cannabis testing laboratory. This role is critical to ensuring accurate sample intake, data integrity, and timely reporting while maintaining compliance with Washington State Department of Agriculture (WSDA) requirements and internal quality standards. The position also includes assisting with laboratory testing activities based on the candidate’s education, training, and experience, and working closely with the Scientific Director on assigned duties.
Reporting Structure
- Reports directly to the Scientific Director.
- Works closely with laboratory staff and leadership to support daily operations and quality objectives.
Key Responsibilities
- Receive and inspect client samples; verify labeling, client information, chain of custody, and submission documentation for accuracy and completeness.
- Communicate professionally with clients regarding sample acceptance, discrepancies, missing information, pricing, and turnaround times.
- Log samples into the Laboratory Information Management System (LIMS) and assign unique laboratory identification numbers.
- Review incoming samples for compliance with laboratory acceptance criteria; document and report discrepancies or nonconformances.
- Generate Certificates of Analysis (COAs) based on approved test results, ensuring accuracy, completeness, and regulatory compliance.
- Distribute finalized COAs to clients through approved delivery methods; maintain detailed records of issuance and communications.
- Store samples under proper environmental conditions and handle them in a manner that prevents contamination, loss, or degradation.
- Accurately weigh and homogenize samples using calibrated balances and validated methods; document all activities thoroughly.
- Clean, maintain, and verify weighing and homogenization equipment between samples to prevent cross-contamination.
- Assist with laboratory testing (minor to moderate complexity) as assigned, in accordance with validated methods and under appropriate supervision, based on education and experience.
- Work directly with the Scientific Director on assigned tasks, projects, and reporting requirements.
- Support general administrative and laboratory operations as needed, including filing, recordkeeping, and audit preparation.
Qualifications
- Associate or Bachelor’s degree in a scientific field or equivalent work experience in a laboratory or regulated environment.
- Strong attention to detail and ability to follow standard operating procedures (SOPs).
- Experience with LIMS or similar data systems preferred.
- Basic laboratory skills and willingness to learn analytical testing methods.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
- Familiarity with cannabis regulations and/or WSDA guidelines is a plus.
