What are the responsibilities and job description for the Executive Administrative Assistant, Law School Dean's Office position at Capital University?
Supports the administrative activities of the Office of the Dean and Associate Dean of Academic Affairs, and other senior administrative personnel. Manages the daily office operations for the Dean of the Law School, the Associate Dean of Academic Affairs, and other senior administrative personnel.
Primary roles and responsibilities:
- Provides efficient day-to-day operations for the Office of the Dean and Associate Dean of Academic Affairs of the Law School, and other senior administrative personnel.
- Maintains calendars for the Dean and others, as needed; schedules meetings and conference calls; monitors and prioritizes emails and other communications for the Dean and responds on behalf of the Dean as appropriate.
- Arranges meetings between the Office of the Dean and Law School faculty, staff, and students as well as other University constituencies and community leaders.
- Organizes and plans special events for the Dean's office and other departments when needed
- Prepares and maintains all adjunct and supplemental faculty contracts, files, and information.
- Finalizes all Dean's correspondence (including Development and donor letters) for Dean's signature; maintains electronic file of same.
- Processes payment requisitions and reconciles budget and credit card statements as needed.
- Interacts with students, faculty, staff, and members of the Law School community.
- Maintains confidential personnel and other information.
- Assists all Law School departments when needed.
Qualifications:
- Knowledge and skills at a level normally acquired through the completion of a High School education or equivalency. Bachelor's degree preferred.
- Specialty skills to include: four years of administrative assistant experience or training, preferably in higher education, or two years of executive administrative assistant experience, preferably in higher education.
- Demonstrated skill in managing office systems and meeting established deadlines.
- Superior attention to detail and ability to bring matters to closure.
- Ability to work without supervision and demonstrate considerable initiative.
- Ability to handle sensitive information and maintain confidentiality.
- Strong interpersonal skills.
- Excellent professional verbal and written communication skills.
- Excellent organizational skills, flexibility, creativity, excellent phone etiquette, and strong ability to multi-task.
- Ability to work without supervision and demonstrate considerable initiative.
- Ability to work closely and professionally with others as part of a team.
- Excellent facility in using Microsoft Office Suite, including Word, Access, Excel, PowerPoint, Outlook, and other platforms as needed.
