GENERAL SUMMARY OF DUTIES: Responsible for scheduling surgeries at facilities and other related duties as requested or required. Responsible for maintaining confidentiality in accordance with the Confidential Agreement as well as HIPAA and other regulations.

ESSENTIAL FUNCTIONS:

  • Communicate with patients in a professional and expedient manner; communicate with physicians as needed with precision and attention to detail, document patient calls with accuracy in the patients’ medical chart.
  • Schedule surgeries per physician order.
  • Schedule assist surgeon or surgical assist as needed per physician preference.
  • Order special instruments, materials, or equipment needed for scheduled surgeries.
  • Code the procedure and diagnosis for pre-certification.
  • Making sure pre-certification for all scheduled surgeries is obtained
  • Fax orders to the facilities for scheduled surgeries.
  • Ensure all preoperative lab requirements are completed prior to surgery.
  • Fax History and Physical information to facilities for scheduled surgeries. Ensure H & P is available to the physician at the time of the surgery.
  • Request, send, or take required films to facility prior to surgery to ensure they are available to the physician at the time of surgery.
  • Inform patients on the detail of their surgery. Provide patient with pre and postoperative instructions.
  • Obtain demographic information on patients that are referred to us, already in house, at a hospital, or seen through an emergency room.
  • Confirm surgeries with patients and facilities the day before surgery. Verify Pre-cert Coordinator completed pre-certification and/or notification to the Insurance companies.
  • Deliver appointment schedule to physicians on a daily basis by e-mail, fax or other means as requested by physician.
  • Document on physicians’ schedule meetings and/or appointments as necessary which include, but is not limited to date, time, location, individuals who will be meeting, the purpose of the meeting, contact person and phone number and name and date of the person who scheduled the meeting.
  • Document on physicians schedule notifications regarding incomplete medical records at facilities, inform physicians of their medical record status, per physician preference.
  • Perform verification of benefits prior to the patient’s scheduled appointment as outlined in the Protocol for Verification of Benefits. Request the patient or referring physician obtain insurance authorization if patient is covered by an HMO plan. Notify patient that visit will not be covered if HMO referral is required and not obtained by the patient or referring physician.
  • Fulfill clerical responsibilities as assigned which include, but are not limited to: answering the telephone, appointment scheduling, verification of benefits and obtaining insurance authorizations, patient check in and out, obtain required patient information and signatures, obtain copies of insurance cards and drivers license, entering new and updated information into patient account, and collect co-pay. Prepping charts, printing, reviewing and organizing encounter forms and marking them with appropriate information. Inform Medical Assistant of patient’s arrival. Distributing appointment schedules at end of day, counting petty cash, batch credit card transactions, tracking dictation and filing medical records.
  • Obtain an understanding of internal policies and procedures and apply them accordingly
  • Attend required meetings as requested
  • Assist co-workers
  • Maintain confidentiality in accordance with the Confidentiality Agreement as well as HIPAA and other regulations
  • Perform other related duties as requested or required

EDUCATION/EXPERIENCE: High school diploma and minimum two (2) years experience in healthcare setting performing clinical and business related duties such as registration and/or appointment scheduling.

KNOWLEDGE:

  • Knowledge of office policies, procedures and protocols
  • Knowledge of health care industry and general surgery specialty
  • Knowledge of medical terminology, health insurance terminology, and coding
  • Knowledge of grammar, spelling, and punctuation
  • Knowledge of customer services principles and techniques

SKILLS:

  • Skill in operating computers, printers and other office machines
  • Skill in answering the telephone in a pleasant and helpful manner using a multi-line telephone system
  • Skill in screening and directing calls in a pleasant and expeditious manner
  • Skill in customer service by pleasantly dealing with all callers and effectively serving as clinic liaison
  • Skill in identifying problems and achieving resolution
  • Skill in gathering, interpreting, and reporting insurance information

ABILITIES:

  • Ability to speak clearly and concisely and write legibly
  • Ability to read, understand, and follow oral and written instructions
  • Ability to plan, prioritize and complete delegated tasks
  • Ability to sort and file materials correctly by alphabetic or numeric systems
  • Ability to establish and maintain effective working relationships with patients, employees, and the public
  • Ability to respond to stressful/emergency situations in calm and effective manner

PHYSICAL/MENTAL DEMANDS: Work may require hand dexterity for telephone, computer and office machine operation, stooping and bending to obtain files and supplies, sitting for extended periods of time. Occasional periods of stress may occur from dealing with upset patients, emergency situations or fast paced demands of the clinic environment. Interaction with others is constant and interruptive.

ENVIRONMENTAL/WORKING CONDITIONS: Work is performed in an office environment. Work involves frequent contact with patients, both in the office and on the telephone. There may be exposure to communicable diseases.

Job Type: Full-time

Pay: $21.00 - $25.00 per hour
