Position Overview:

As the first and last impression of our practice, the Front Desk Receptionist / Medical Assistant plays a key role in creating a seamless, warm, and professional patient experience.

You will manage check-in and check-out processes, appointment scheduling, phone and email communications, and collaborate closely with our providers and clinical team to ensure smooth and efficient patient flow.

This role is ideal for someone who can maintain a calm, solutions-oriented demeanor while supporting a fast-paced clinical environment and delivering exceptional service to every patient.

Key Responsibilities:

  • Greet patients warmly and professionally upon arrival
  • Manage check-in and check-out processes with accuracy and discretion
  • Verify insurance eligibility and collect copays or outstanding balances
  • Schedule and confirm appointments, coordinate referrals, and manage follow-up visits
  • Answer phones, emails, and portal messages with prompt and courteous responses
  • Maintain a clean, organized, and welcoming front office environment
  • Communicate clearly with clinical staff to support efficient patient flow
  • Uphold HIPAA and all privacy and security regulations at all times
  • Ensure documentation and chart preparation meet provider and practice standards prior to patient visits
  • Coordinate outgoing referrals for imaging, therapy, or other ancillary care
  • Assist providers with rooming patients, obtaining HPI, charting, and preparing templates for physician use when needed
  • Assist the surgical coordination team by gathering required documentation, imaging, and medical clearances when requested

Qualifications:

  • 3 years of front desk, medical assisting, or patient services experience in a medical office
  • Warm, professional, and polished demeanor with excellent communication skills
  • Strong organizational skills and attention to detail
  • Comfortable working with EMR systems and standard office technology
  • Passion for delivering outstanding patient service in a collaborative environment
  • Dependable, punctual, and calm under pressure
