We are seeking a full-time Administrative Assistant to work in our administrative offices. This Administrative Assistant will provide administrative support and assist in the daily operation of internal departments. This individual will be someone who has excellent organizational and communications skills, appreciates working in a fast-paced environment, is confidential in nature and is proficient with Microsoft Office.
It is the responsibility of the Administrative Assistant to act as a liaison on behalf of internal departments and various outside organizations/agencies as requested.
Qualifications:
- Bachelor Degree in Business Administration or Associates Degree with three (3) years of related experience.
- Ability to effectively work in a confidential environment.
- Excellent organizational skills.
- Working knowledge of Microsoft Office (Word, Excel, Power Point, Access).
- Customer Service Skills and experience
- Proven experience as an administrative assistant
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
Duties and Responsibilities:
- Assist in the daily office needs and provide administrative assistance to internal departments as directed.
- Act as a liaison on behalf of internal departments and various outside organizations/agencies as requested.
- Assist/oversee special projects as requested.
- Document preparation as required.
- Review and verify purchase orders and invoices submitted to accounts payable for payment.
- Maintain and organize all Department(s) records and files (including various database(s)) including all work orders, work logs and invoices.
- Act as a point of contact for internal and external clients
- Assist in bid preparation. Knowledge of NYS procurement procedures recommended but not required.
- Responsibilities extend to all of the above activities but are not limited to the above list.
Salary / non-exempt position
$45,000 salary
