Overview:
Experienced commercial real estate broker seeks a highly organized Operations Manager to build internal systems, manage CRM operations, streamline workflows, and support daily brokerage activities. This role requires precision, follow-through, and strong communication. Must be tech-savvy and comfortable implementing AI tools, automation, and CRM integrations.
Key Responsibilities:
- Build and manage CRM system (FollowUpBoss / Monday / Airtable)
- Create daily workflows, SOPs, checklists for all recurring tasks
- Manage inbox, calls, scheduling, and reduce interruptions to broker
- Maintain and organize Google Drive files, property data, rent rolls, contracts
- Prepare:
- LOIs
- Contracts
- Offering memorandums
- Property flyers
- Deal pipeline updates
- Implement AI automations for follow-ups, deal tracking, document prep
- Track leads, buyers, sellers, investors
- Weekly reporting: tasks, pipeline, hot leads, follow-ups
- Coordinate showings, inspections, lender docs, title communications
- Support social media team (provide content materials, property info)
Requirements:
- Experience in real estate operations (commercial preferred)
- Strong CRM tech skills
- Organized, structured, detail-oriented
- Strong English writing/communication
- Ability to juggle multiple tasks without losing accuracy
- AI tools experience (ChatGPT, Zapier, Canva AI, CRM automation)
