Job Summary
Capital Digestive Care is the largest gastroenterology group in the Mid-Atlantic states. Our Suffolk, Virginia location is staffed with eight Physicians, seven Advanced Practice Clinicians, and fifteen Medical Assistants and other support staff. We are currently seeking a motivated Procedure Scheduler/Referral Coordinator to join our team. This position requires availability Monday-Friday with no weekend, evening, or holiday obligations. Candidates must be able to travel between two office locations - located in downtown Suffolk and off of Harbour View Boulevard.
Candidates should be able to work directly with our providers, maintain patient records, explain common medical procedures to patients and update/maintain patient EMR. Administrative tasks to include occasional prior authorization work and able to understand when a procedure requires a clearance. Attention to patient specific detail if very important.
Duties
- Schedule office based procedures and OP facility procedures, for multiple providers, according to protocols and policy. Reviews patients medical record to ensure which facility to schedule at.
- Faxing posting sheets to facility, as needed.
- Schedule office based medical exams, such as, follow up visits, US, FibroScan, Pill Cams & Hemorrhoid Banding.
- Communicates required preparations and makes necessary arrangements prior to procedure or exam.
- Schedule STAT OP exams, as needed.
- Fax radiology exams to concierge services (outside facilities) and follow up on results.
- Fax referrals and follow up on referrals. Communicate with patients and their families to explain the referral process and help them understand their options.
- Track cancellations and re-schedule appointments, oversee the efficient use of procedure rooms, and maintain organized financial and patient records.
- Provide basic life support as needed and ensure patient safety at all times.
- Maintain a clean and organized clinic environment to enhance patient experience.
- Collaborate with other healthcare professionals to ensure comprehensive patient care.
- Discusses and coordinates financial arrangements including potential out of pocket costs for self-pay accounts.
- May handle Prior Authorizations, as needed.
Requirements
- Two years of procedure scheduling in a clinical or hospital setting is a must.
- Certification as a Medical Assistant from an accredited program is a plus.
- Certification as a Phlebotomist is a plus.
- Prior Authorization experience is a plus.
- Time management and organizational skills.
- Ability to multitask and prioritize deadline-driven workloads.
- Proficiency in patient service techniques and excellent interpersonal skills.
- Ability to work effectively in a fast-paced environment while maintaining attention to detail.
- Meticulously manage complex schedules and paperwork to prevent conflicts and delays.
- Basic life support certification is required; we can provide as well.
