The Google Vault Specialist is responsible for administering, managing, and optimizing Google Vault to support an organization’s data governance, compliance, eDiscovery, and legal hold requirements. This role ensures that email, Drive files, Chat, and other Google Workspace data are retained, searched, and exported in accordance with legal, regulatory, and organizational policies.
Key Responsibilities:
Configure and manage Google Vault retention rules, holds, and deletion policies
Administer legal holds for users, shared drives, and organizational units
Conduct eDiscovery searches across Gmail, Google Drive, Chat, Groups, and other Workspace services
Export data securely for legal, compliance, audit, or HR investigations
Partner with Legal, Compliance, Security, and IT teams to support litigation, audits, and regulatory requests
Ensure data handling practices align with privacy laws and regulatory frameworks (e.g., GDPR, HIPAA, FINRA, SOX, etc., as applicable)
Document processes, policies, and chain-of-custody procedures
Monitor and troubleshoot Vault-related issues and access permissions
Stay current on Google Workspace and Vault feature updates and best practices
Support audits by providing reports and evidence from Vault when required
Required Qualifications:
Experience administering Google Workspace (formerly G Suite), with hands-on experience in Google Vault
Strong understanding of data retention, eDiscovery, and legal hold concepts
Familiarity with information governance, compliance, and records management
Ability to handle sensitive data with discretion and confidentiality
Strong analytical, documentation, and organizational skills
Preferred Qualifications
Experience working with Legal or Compliance teams
Knowledge of data privacy and regulatory requirements relevant to the organization’s industry
Google Workspace or security-related certifications
Experience with other eDiscovery or compliance tools
