At Capell Barnett Matalon & Schoenfeld LLP (CBM&S), our strength is in how we efficiently help our clients realize sustainable futures by providing legal advice that reflects the particular goals and values of the clients we represent. To help us continue growing, CBM&S is seeking an experienced director of operations to join a highly skilled team of attorneys and non-lawyers (approximately 35 individuals) to help oversee all business administration and support functions of the firm to ensure that CBM&S can achieve its strategic goals, allowing our legal departments to continue to successfully support our clients.
The ideal candidate will have management experience in a dynamic setting (prior law firm setting is desirable). The role requires outstanding organizational, communication, and leadership skills and an ability to develop and implement innovative solutions. The director of operations will work closely with the firm’s management and marketing committees, director of finance and managing partners for each of our offices to strategize, develop and implement plans that usher in new levels of productivity and success for CBM&S and our clients.
Responsibilities:
Human Resources Responsibilities
o Manage the recruitment and hiring of attorneys and support staff, including creating job postings, vetting candidates, conducting background and reference checks, and managing new hire onboarding and paperwork (and maintain personnel files).
o Create an organized, welcoming, and efficient workplace environment for current employees and future hires.
o Create and implement uniform policies across offices for leave (such as vacation time, sick leave, and parental leave), progress/performance analysis, and professional training.
o Work with the director of finance to oversee benefits and coordinating payroll.
o Oversee healthcare enrollment.
Communications/Marketing Responsibilities
o Assist in planning and coordinating firm events (internally and externally), outings, and other programs such as “lunch and learn”, webinars, and practice group’s conferences.
o Work with the firm’s marketing committee to coordinate timely updates of website and other marketing materials, and distribution of regular internal and external communications.
Other Operational Responsibilities
o Monitor the day-to-day operation of the firm’s offices and assure that sufficient supplies and equipment (laptops, etc.) are available and maintained for the firm.
o Create and maintain a centralized firm-wide folder for administrative items and models.
o Work with the firm’s management committee and the director of finance to update and implement uniform operational policies and procedures for vetting potential clients (including conflicts checks), and the engagement and consistent billing of clients.
o Work with the firm’s management committee and director of finance in the implementation of financial and budgetary plans.
o Manage engagements and communications with external entities (such as landlords, insurance broker, marketing consultants, and IT consultants, etc.).
o Review and maintain all vendor contracts.
o Work with the firm’s management committee and insurance consultant in maintaining and renewing the firm’s insurance policies, including malpractice insurance and general liability insurance, and monitor the firm’s compliance with such insurance policies.
o Work with the firm’s management committee to assure compliance with federal, state, and local regulations and laws (such as sexual harassment training and professional responsibility compliance for the legal profession).

· Proven ability to plan and manage operational processes for maximum efficiency and productivity.
· Superior knowledge of multiple operational functions and principles, including customer service and employee management.
· Strong reading, writing, and interpersonal communication skills.
· Critical thinking skills.
· Ability to lead with humility and respect.
· Superb technical skills including familiarity with basic computer functions and Microsoft Office.
Experience / Requirements:
· 4 years of experience in an operational or human resources management role in the legal field or professional services organization.
· Bachelor’s degree (or equivalent); a relevant graduate degree is desirable.
Salary is commensurate with experience. Salary Range is $85,000.00 - $115,000.00. Health benefits and 401K plans are also offered.
