Business Operations Manager
Reports to: President, Board of Directors
Hours: Flexible schedule within a 30-hour workweek; availability required for evenings until 6:00 p.m. and seasonal rotating Saturdays
Position Summary
The Business Operations Manager plays an important role at the Cape Cod Art Center (CCAC), helping ensure the organization runs smoothly while supporting its mission to connect people to art, education, and community.
This role blends strong operational management, administrative oversight, and business acumen with a genuine appreciation for the arts. The Business Operations Manager works closely with the Gallery and School Manager to coordinate day-to-day operations, support programming and exhibitions, and establish organized systems that improve efficiency, consistency, and scalability.
The ideal candidate is a hands-on operator who thrives in a small, nonprofit environment—someone who can build structure, streamline processes, leverage technology, and serve as a trusted partner to leadership, staff, artists, and volunteers.
Key Responsibilities
Operations, Administration & Systems
- Oversee general business operations, ensuring day-to-day administrative functions run smoothly and efficiently.
- Establish, document, and maintain organized systems and processes; identify opportunities to automate and streamline workflows where feasible.
- Leverage technology and digital tools to improve operational efficiency, communication, recordkeeping, and reporting.
- Provide general office management support, including scheduling, coordination, record maintenance, and internal communications.
- Serve as a central point of coordination across departments to ensure alignment and consistency.
Financial & Business Support
- Support basic accounting and financial administration, including invoicing, expense tracking, deposits, and coordination with the Treasurer.
- Maintain organized financial records and support budgeting and reporting processes as needed.
- Demonstrate strong business judgment in day-to-day decision-making and operational planning.
Cross-Functional Coordination
- Coordinate closely with the Gallery Manager and School Manager to support exhibitions, classes, and programming.
- Align administrative and operational support with artistic and educational goals.
- Assist with scheduling, logistics, communications, and resource coordination across gallery, school, and events.
Membership & Community Engagement
- Maintain and manage the CCAC membership database with accurate and timely updates.
- Oversee Membership Committee to onboard new members, manage renewals, and oversee annual dues.
- Develop and maintain clear, consistent communications with members and the broader community.
- Support strategies that strengthen member engagement and expand CCAC’s reach.
Communications & Technology
- Collaborate with Marketing Manager to maintain and update the website with current exhibitions, classes, events, and organizational information.
- Support digital communications including email campaigns, online content, and social media coordination.
- Ensure communications reflect CCAC’s mission, professionalism, and artistic vibrancy.
Facility & Vendor Coordination
- Coordinate facility needs, vendors, and maintenance in partnership with the President and Treasurer.
- Support ongoing improvements to ensure the Center remains welcoming, functional, and well-managed.
Gallery & Event Support
- Serve as a co-coordinator with the Gallery Manager to support planning and execution of gallery exhibitions.
- Assist with exhibit setup, installation logistics, labeling, and presentation standards.
- Coordinate volunteers for exhibits, receptions, events, and gallery coverage.
- Support fundraising, member, and community events in collaboration with committees and leadership.
Client Services & Front Desk Support
- Serve as a friendly and responsive point of contact for email and phone inquiries, ensuring a positive and welcoming experience.
- Greet members, students, artists, and visitors as they arrive, serving as a friendly first point of contact for CCAC.
- Provide front desk and gift shop support during open hours, events, and exhibitions.
- Assist visitors with general questions, membership information, class registrations, and purchases.
Qualifications
- Bachelor’s degree in Arts Administration, Business Administration, Nonprofit Management, Communications, or a related field or equivalent practical, hands-on experience; candidates with demonstrated real-world experience are strongly encouraged to apply.
- Experience with nonprofit organizations preferred; experience in a small organization strongly preferred.
- Demonstrated strength in general operations, administration, and office management.
- Basic accounting and financial administration knowledge required.
- Strong organizational and project management skills, with the ability to build systems and improve processes.
- Business-savvy mindset with the ability to balance mission-driven work and operational discipline.
- Proficiency with Microsoft Office, Google Workspace, and digital tools such as Canva, Squarespace, Mailchimp, or similar platforms.
- Experience working with databases, CRM systems, or membership/donor platforms.
- Background or strong interest in the arts; knowledge of and appreciation for artists and creative communities. Individuals with operational and administrative experience in arts and culture.
- Excellent interpersonal, written, and verbal communication skills.
