- Provide comprehensive executive administrative support including drafting correspondence, proofreading documents, and transcribing notes as needed.
- Organize and maintain filing systems, both physical and digital, ensuring easy retrieval of information.
- Handle incoming calls with professionalism using multi-line phone systems and phone etiquette; direct inquiries appropriately.
- Assist with event planning for meetings, conferences, and company functions from initial concept through execution.
- Oversee office management duties such as supply ordering, equipment maintenance, and overseeing front desk operations.
- Perform bookkeeping tasks utilizing QuickBooks or similar software; manage data entry, invoicing, and basic bookkeeping responsibilities.
- Coordinate projects across departments to ensure timely completion; track progress and communicate updates effectively.
- Support document signing processes using tools like DocuSign to facilitate secure approvals.
- Provide excellent customer service by addressing inquiries promptly and courteously in person or via phone or email.
Skills
- Proven experience as a Personal Assistant or in an administrative support role with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and office management software.
- Exceptional typing speed with high accuracy; capable of transcription and proofreading tasks efficiently.
- Strong project coordination skills with the ability to prioritize multiple responsibilities simultaneously.
- Excellent communication skills including phone etiquette and professional interpersonal interactions.
- Knowledge of bookkeeping practices using QuickBooks or similar accounting software.
- Familiarity with office equipment such as multi-line phones, fax machines, printers, and filing systems.
