The Office Assistant supports daily business operations by managing office supplies, administrative tasks, vendor relations, bookkeeping functions, and general office organization. This role ensures efficient workflow across departments while maintaining professionalism and accuracy in all administrative and financial processes.
Key Responsibilities
Administrative & Clerical Support
- Greet visitors, vendors, and delivery personnel; maintain visitor logs.
- Prepare and type documents including SOPs, flyers, signs, and internal communications.
- Assist HR with new hire paperwork and timecard adjustments.
- Sort and process mail and PO Box deliveries/returns (UPS, USPS, etc.).
- Provide general administrative assistance to management and staff.
Purchasing & Supplies
- Monitor and order office and departmental supplies.
- Compare purchase options to ensure cost efficiency and timely restocking.
- Conduct Costco runs for employee snack program while maintaining dietary and budget requirements.
Bookkeeping & Financial Support
- Maintain orderly accounting and filing systems.
- Write checks, pay vendors, and process inbound orders and payments (e.g., Terp Transit).
- Handle monthly DOR B&O taxes, licensing renewals (WSLCB, WA DOR), and credit checks for retail locations.
Facilities & Organization
- Maintain cleanliness and organization in office and warehouse areas.
- Break down and remove cardboard and recyclables.
- Report maintenance or operational issues to management promptly.
Other Duties
- Perform additional administrative or operational tasks as assigned by ownership or management.
Qualifications
- 1–3 years of administrative, office, or bookkeeping experience preferred.
- Proficient in Microsoft Office and/or Google Workspace.
- Strong organizational, multitasking, and communication skills.
- Comfortable handling confidential information.
- Valid driver’s license (for supply runs).
- Experience with QuickBooks or other accounting software a plus.
- Knowledge of WA DOR or WSLCB regulations helpful (training provided).

Pay: $18.00 - $23.00 per hour
