Job Overview
We are seeking a detail-oriented and organized Bookkeeper to join our team. The ideal candidate will be responsible for managing financial records, ensuring accuracy in financial reporting, and maintaining compliance with accounting standards. This role requires proficiency in various accounting software and a strong understanding of financial concepts.
Qualifications
Individual with a Bachelor’s Degree in Accounting with two years of experience in accounting, auditing, or grants management; or an Associate's Degree in Accounting Services with ten years accounting, bookkeeping, grants, and computer network experience required
Responibilities
The Bookkeep is primarily responsible for coordinating financial accounts, monitoring program budgets, timely collections, preparing tax statements, and providing administrative support services. Professional responsibilities include application of the following:
1. Enter transactions and post financial information to all agency accounts on a routine basis. Monitor account balances to ensure appropriate use of financial resources.
2. Maintain accurate records of Accounts Receivable for all agency programs, code to appropriate accounts, and ensure prompt deposits; receive and account for all funds. Submit monthly billing statements and reimbursements to Chief Executive Officer for review. Promptly investigate delinquent accounts.
3. Compute, prepare, and calculate deductions for agency payroll. Maintain payroll information for all agency programs.
4. Prepare accurate payroll taxes and quarterly tax returns; FICA (941), SUTA, FUTA, State withholding, and special assessments in timely manner.
5. Prepare W-2s and annual updates for employee withholdings.
6. Reconcile monthly bank statements for all agency programs.
7. Pre-audit financial statements and documents for accuracy.
8. Prepare monthly financial statements including Balance Sheets, Disbursement Records, and Income Statements; submit to Chief Executive Officer for review. Compile monthly financial report for Board of Directors.
9. Manage billing and collection process for all contracting agencies and insurance
10.Maintain current contracts, correspondence, reports, fiscal documents, and filing system for Agency records in secure location.
11. Consult with accountant as needed; follow recommendations and instructions of
accounting agency and auditing services.
12.Maintain separate accounting data base for various agency programs.
13.Coordinate computer programming for agency with network administrator
14.Serve as primary instructor and coordinator for agency computer network
15.Maintain security of agency records and financial data; backup data weekly
16.Serve as Chair of Financial Committee for accreditation and complete annual review
17.Preserve confidentiality of personnel, resident, and Agency business.
18.Assist Chief Executive Officer with administrative and financial services to ensure
optimal agency management; report to Chief Executive Officer
19.Maintain personal and professional development; attend training and seminars to
enhance professional skills and best practices in accounting standards.
20. Complete financial reports and fiscal planning for agency grants.
21. Coordinate computer technology needs with Computer Network System
Administrator.
22. Reconcile any fundraisers that involve cash. Collect and deposit at least quarterly.
23. Assist Chief Executive Officer with fiscal reports to meet compliance standards.
24. Coordinate office needs with senior leadership and assist with tracking paid time off
25. Utilize trauma informed care with youth and in professional relationships
26. Complete training in Trust Based Relational Interventions
