Position: Event Operations Manager
Company: US-Based Conference Organizer
Location: New York, NY – Hybrid (Up to 3 days per week in-office)
Compensation: $65,000 – $70,000 Bonus
Our client is a fast-growing events and media business looking to hire an Event Operations Manager to support the delivery of a high-quality portfolio of conferences across multiple sectors.
This is a hands-on role focused on planning and executing events end-to-end, managing logistics, coordinating vendors, and ensuring a seamless attendee experience. You’ll work closely with internal teams and external partners to deliver polished, high-impact events.
Key responsibilities include:
- Plan and execute conferences from initial planning through on-site delivery
- Manage event logistics including rooming lists, meeting space setup, transportation, and registration processes
- Build and maintain relationships with hotel partners and vendors
- Oversee event timelines, run-of-show documents, and operational workflows
- Coordinate with vendors on A/V, production, and technical setup
- Support attendee communications, travel logistics, and scheduling coordination
- Act as a key point of contact for attendees pre-event and on-site
- Manage on-site operations, including the execution of a high volume of scheduled meetings
- Resolve scheduling conflicts and ensure sessions run smoothly and on time
- Partner cross-functionally with internal teams to ensure alignment across event delivery
- Maintain accurate tracking of event data and timelines within internal systems
- Travel nationally to support on-site execution
The business delivers curated, high-impact events for senior decision-makers, requiring a high level of detail, coordination, and professionalism across all aspects of delivery.
We are looking for someone with the following experience:
- 2–3 years in event operations within conferences, tradeshows, or hospitality
- Strong understanding of event logistics and on-site execution
- Experience working with vendors, hotels, and external partners
- Highly organized with the ability to manage multiple projects in a fast-paced environment
- Strong communication and problem-solving skills
- Detail-oriented with excellent follow-through
- Comfortable working independently and collaboratively across teams
Nice to have:
- Experience with B2B or meeting-based event formats
- Familiarity with tools such as Airtable, CVENT, or similar platforms
- Experience working with major hotel brands (Marriott, Hyatt, Hilton, IHG)
