Summary:
The Onboarding Coordinator serves as a trusted partner to candidates throughout the onboarding process, delivering a seamless and positive candidate experience while ensuring all pre-employment and compliance requirements are completed for candidates across the Americas markets. This role coordinates onboarding activities in Workday, proactively supports candidates, hiring managers, and recruiters.
Supports overall TA pre-employment activities, including:
· Facilitates applicable pre-employment screenings including background checks following self-adjudication practices, drugs screens, medical mandates, and motor vehicle reports.
· Support I-9 & E-Verify right to work processes, including I-9 reverifications.
· Cross-functional partnership providing onboarding guidance and problem-solving support to groups including, but not limited to, Talent Acquisition, HR People Services, People Services Technology, and IT.
· Manages Digital Onboarding Experience for candidate.
· Answers Candidate and Hiring Manager inquiries.
· Problem-solves technical issues in Workday and other onboarding systems.
· Follows established SOPs and QRGs for onboarding, adjudication, and compliance processes; flags gaps or outdated procedures for update as processes evolve.
· May participate to Onboarding projects.
· May provide back-up with Interview Scheduling and Pre-Boarding for VP when needed.
Minimum Requirements:
· High School Diploma required
· Demonstrated proficiency with the Microsoft Office suite, specifically .xls
· Understanding of US visas (i.e. H-1B, L-1, TN, F-1, etc.) and I-9 reverifications specifically around compliance and tracking of cases.
· Strong sense of urgency in addition to the ability to prioritize and complete projects in a timely manner
· Detail-oriented with excellent verbal and written communication skills
· Excellent organization and problem-solving skills
· Pro-actively embraces new trends, education, technology and tools
Preferred Skills and Qualifications:
· Spanish and/or Portuguese speaking and writing skills is a plus but not required
· 3 years of HR Admin/Support Experience, with experience in Talent Acquisition preferred
· Knowledge of Applicant Tracking Systems (ATS) required; experience with Workday ATS and scheduling experience preferred
· Self-starter who works efficiently and is comfortable managing several different projects and priorities
