Retail Accounting Manager

Two families who stared out in development have created new and exciting growing retail brands that have a positive impact on our communities.

We are seeking a highly capable Retail Accounting Manager to oversee accounting operations across three growing retail brands: Canal Coffee Co. (11 locations and expanding), HiTONE Fitness (9 locations), and two Smoothie King franchise locations. This role is critical to ensuring financial accuracy, operational discipline, and scalable systems across a multi-entity, multi-unit environment.

The ideal candidate brings hands-on experience in multi-unit retail accounting, thrives in fast-paced growth environments, and has a strong foundation in QuickBooks and Toast POS. This position offers a clear path to advancement into a Controller-level role as the organization continues to scale.

Key Responsibilities

Financial Operations & Close

• Manage day-to-day accounting operations for all retail entities and locations
• Own monthly, quarterly, and annual close processes across multiple brands
• Ensure accurate recording of revenue, cost of goods sold, labor, and operating expenses
• Prepare and review financial statements, journal entries, accruals, and account reconciliations
• Analyze financial results and provide variance explanations to leadership
• Maintain general ledger integrity across all entities
• Ensure accurate recognition of sales, returns, discounts, gift cards, and loyalty programs
• Monitor and resolve store-level discrepancies

Multi-Unit & Brand Management

• Oversee location-level P&Ls and consolidated reporting across brands
• Partner with operations leaders to analyze store performance, labor efficiency, and margin trends
• Track same-store sales, unit economics, and location-level KPIs
• Support new store openings with chart of accounts setup, system integration, and opening balances

Systems & Tools

• Manage and optimize accounting workflows within QuickBooks
• Oversee POS integrations and sales reconciliation (daily/weekly/monthly) using Toast
• Ensure accurate daily sales, cash, credit card, and deposit reconciliations
• Support automation and process improvements as the company scales

Compliance & Controls

• Ensure compliance with GAAP, sales tax, payroll tax, and franchise reporting requirements
• Monitor data integrity between POS, and accounting systems
• Coordinate with internal teammates, external CPAs, tax advisors, and auditors as needed
• Maintain strong internal controls and consistent accounting policies across brands

Leadership & Growth

• Serve as accounting liaison and trusted financial partner to ownership and leadership
• Assist in creating and monitoring the budgeting, forecasting, and cash flow management process
• Mentor junior accounting staff or outsourced partners as applicable
• Play a key role in building scalable accounting infrastructure in preparation for a future Controller function

Qualifications & Experience

• Bachelor’s degree in Accounting, Finance, or related field
• 5 years of accounting experience, with multi-unit and/or multi-brand retail experience strongly preferred
• Hands-on experience with QuickBooks (required)
• Experience with Toast POS or similar retail POS systems (preferred)
• Advanced Excel skills (pivot tables, lookups, financial models)
• Background in coffee, QSR, fitness, or franchised retail environments preferred
• Strong understanding of retail accounting concepts including COGS, inventory, labor, and location-level reporting
• Proven ability to manage multiple entities and priorities simultaneously
• High attention to detail with strong analytical and problem-solving skills
