We are seeking a highly organized and detail-oriented
Assistant Property Manager to join our Property Management team. The successful
candidate will assist with daily operations of the management office,
performing various administrative tasks and ensuring smooth and efficient
operations in accordance with established Association procedures and
guidelines.
Key Responsibilities:
- Assist in the daily operations of the management
office and carry out administrative duties as per established Association
procedures and guidelines.
- Answer the telephone professionally,
ensure messages are accurately recorded and responded to in a timely
fashion.
- Respond to all e-mails promptly and
appropriately.
- Manage and process all incoming and outgoing mail
(including FedEx, UPS, USPS) daily, ensuring timely collection and
distribution.
- Perform record keeping, filing, data entry, word
processing, and general office support tasks.
- Maintain and replenish office supplies; place
supply orders for Maintenance and Housekeeping departments.
- Ensure Owner/Resident information is updated in
association databases.
- Assist with processing print jobs, scanning, and
faxing as needed.
- Prepare monthly board packages, meeting agendas,
notices, and in-house mailings.
- Assist in coordinating and tracking important
dates, including turnover, annual, and budget meetings.
- Provide and maintain maintenance requests (Work
Orders).
- Assist with producing minutes for Board meetings.
- Process and code all invoices for the community.
- Ensure Vendor Packets are processed for all
vendors, monitoring vendor license and insurance expiration.
- Work closely with Committees and Committee Chairs
to support their functions.
- Maintain regular interaction with owners,
providing necessary support and addressing inquiries.
- Maintain and update the community website in
accordance with Florida Statutes.
- Take on special projects as directed by the
Property Manager or HOA Board.
Full-Time
Pay Rate: $26.50-$29.00 DOE
