Position Overview:
We are seeking a highly organized and proactive Project Manager / Executive Assistant to support senior leadership while driving key projects to successful completion. This hybrid role requires a blend of strategic project management and high-level administrative support. The ideal candidate thrives in fast-paced environments, anticipates needs before they arise, and ensures both daily operations and long-term initiatives run smoothly.
Key Responsibilities:
Project Management Duties:
- Define Task / Activities: Breaking down project scope (e.g., using a Work Breakdown Structure or WBS) into actionable tasks.
- Sequence Tasks: Establishing dependencies (which tasks must come first)
- Plan, execute, and oversee projects from initiation to completion, ensuring deadlines and objectives are met
- Assist with all events
- Coordinate cross-functional teams, track progress, and manage project timelines
- Identify risks and develop mitigation strategies
- Prepare project reports, dashboards, and presentations for stakeholders
- Streamline processes and improve operational efficiency
Executive Assistant Duties:
- Provide direct administrative support to senior executives, including calendar management and meeting coordination
- Develop Schedule: Creating the actual timeline, often using software like MS Project or Primavera P6.
- Control Schedule: Monitoring progress to detect variances and managing changes to the schedule baseline.
- Manage communications, including emails, calls, and correspondence on behalf of executives
- Prepare reports, presentations, and briefing materials
- Arrange travel logistics and itineraries
- Handle confidential information with discretion and professionalism
Qualifications:
- Bachelor’s degree in business administration, Management, or a related field (or equivalent experience)
- 3 years of experience in project management, executive support, or a similar role
- Strong organizational and multitasking skills with attention to detail
- Excellent written and verbal communication abilities
- Proficiency in project management tools (e.g., Asana, Trello, Monday.com) and Microsoft Office or Google Workspace
- Ability to prioritize tasks and adapt to changing priorities
Preferred Skills:
- Experience working with senior leadership or C-suite executives
- Knowledge of project management methodologies (Agile, Scrum, or Waterfall)
- Strong problem-solving and decision-making skills
- High level of professionalism and emotional intelligence
