Job Description

Job Title: Full Time Administrative Assistant

Department: Office

Reports To: Office Manager

FLSA Status: Non-Exempt

Summary: Responsible for coordinating office duties pertaining to funeral home needs by performing the following duties.

Duties and Responsibilities include the following. Other duties may be assigned.

1. Completes case folders and daily paperwork.*

2. Completes computer work in Director’s Assistant and Microsoft Word.*

3. Completes and files death certificates.*

4. Provides office support including but not limited to filing, answering phones, replenishing office supplies, faxing documents and other relevant duties.

5. Answers the door and greets families.*

6. Facilitates appointments for Funeral Directors.*

7. Keeps office neat and tidy.*

8. Completes print work and puts together family bag.*

9. Uploads information to the Medical Examiner's portal.*

10. Runs errands including but not limited to picking up death certificates at doctors’ offices and filing death certificates at city or town halls.

11. Greets people at door during visitation/services as needed.

Language Ability:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Math Ability:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills:

To perform this job successfully, an individual should have knowledge of Microsoft Word, Microsoft Excel, Memorial Master, and Director's Assistant.

Education/Experience:

Associate's degree (A.A /A.S.) or equivalent from two-year college or technical school; or two to four years related experience and/or training; or equivalent combination of education and experience.

Specific vision abilities required by this job include close vision, distance vision, peripheral vision, ability to adjust focus, and ability to see color.
