General Summary Performs a variety of confidential legal clerical work in support of the County Attorney's Office. Provides word processing, data entry support, general information and assistance to staff and the public. Prepares a variety of reports and legal documents.

Maintains and prepares files and requests information, provides discovery. Prepares motions and orders for each case. Assists in the scheduling and organization for hearings and trials.

Performs at the full journey level of the class series and works independently. Essential Duties and Responsibilites The intent of this job description is to provide a representative summary of the major duties and responsibilities performed by employees in this job. Employees may be requested to perform job-related tasks other than those specifically presented in this description.

Serves as initial contact/resource person for the assigned attorney and/or office. Screens calls, greets visitors, and responds to complaints and requests for information and assistance. Interprets and explains regulations, procedures, policies, systems, rules, and precedents in response to inquiries and complaints from the public, county staff, representatives of other organizations, and others.

Types, formats, proofreads, and produces final copy of a wide variety of reports, legal documents, letters, memoranda, spreadsheets, and statistical charts. Composes letters, memoranda, or basic reports from general instructions or information related to assigned responsibilities. Arranges for or distributes copies of material.

Provides information and forms to staff. Collects and processes appropriate information. Applies departmental and program policies and procedures in determining completeness of records and files.

Prepares files for Attorneys. Processes legal documents as assigned. Researches and traces information and documentation.

Assists attorneys with filings and documentation. Updates information regarding status of in-process cases. Schedules and maintains an accurate and up-to-date calendar of current and upcoming deadlines, Court hearings, and appointments for attorneys.

Assists and supports County Attorney and staff in the preparation and control of legal documents. Prepares and maintains files and cases for court. Advises attorneys of changes in status of cases.

Tracks court date settings for timely filing of Court documents. Prepares documents for filing with Court, including judgment and sentence, warrants, subpoenas, pretrial memorandums, affidavits, information and summons, and all other documents as assigned. Aids in trial preparation and assists with the trial (courtroom presence) Performs related duties as required.

Minimum Qualifications Required Education and Experience: High school diploma (or GED equivalent) One (1) to three (3) years of experience Any equivalent combination of training, education, and experience that provides the required skills, knowledge, and abilities Required Licenses or Certifications: Class C driver's license Notary Public Competencies for Successful Performance of Job Duties Knowledge of: English grammar, spelling, and punctuation Legal terminology and court procedures Modern office procedures, methods, and computer equipment Principles and procedures of record keeping, business letter writing, and legal research Skill in: Interpersonal skills necessary to develop and maintain effective and appropriate working relationships Performing a variety of duties, often changing from one task to another of a different nature Performing basic mathematical functions such as addition, subtraction, multiplication, division, percentages, and ratios Communication, both oral and written Ability to: Meet schedules and deadlines of the work Understand and carry out oral and written directions Accurately organize and maintain paper documents and electronic files Maintain the confidentiality of information and professional boundaries Perform legal office procedures and practices including legal terms, documents, and forms Correctly interpret and apply the policies and procedures of the County Attorney's Office Draft legal documents and pleadings Compile and maintain complex and extensive records and prepare routine reports Maintain accurate and complete records PHYSICAL DEMANDS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
