Job Summary
The Department Secretary is a vital role in establishing a positive first impression and conveying the Campbell County Health mission and vision of providing exceptional customer service.
Under the direction of the Medical Surgical Director and Clinical Supervisor, this position supports the clinical team by coordinating essential administrative functions to ensure a smooth and efficient unit operation.
This role involves maintaining accurate patient records, coordinating diagnostic tests and procedures, managing supplies, and serving as a key communication hub for the department.
Essential Functions
Accurately transcribe and process physicians' orders while adhering to hospital policies and regulations.
Initiate and maintain both electronic and paper-based patient records, ensuring accuracy and completeness.
Serve as a central point of communication between the department, ancillary services, physicians, patients, and external providers.
Record data, prepare reports, enter and reconcile patient charges, promoting cost-efficiency and excellent financial management.
Support the admission and discharge process, maintaining patient records throughout their hospital stay.
Coordinate tests, procedures, diets, and medication instructions, prioritizing scheduling across multiple departments.
Schedule follow-up appointments and arrange for necessary equipment or services, demonstrating excellent organizational skills.
Input physician orders and retrieve test results for staff, ensuring timely and accurate communication.
Promote departmental and organizational cost-efficiency while providing courteous, professional customer service and demonstrating excellent telephone etiquette.
Remain calm and flexible in a fast-paced, high-volume environment, maintaining a positive, team-oriented approach and adhering to all regulations and hospital policies.
Perform additional duties as assigned, consistently demonstrating flexibility and a commitment to excellence.
Job Qualifications
Education
A high school diploma or GED is required, with completion of a medical terminology course or unit secretary training program being preferred.
Licensure
No specific licensure is required for this role.
Experience
Previous clerical or unit secretary experience is preferred, with Certified Nursing Assistant (CNA) experience also being beneficial.
Certifications Required
A current Wyoming CNA certification is preferred, with certifications such as ACLS, PALS, CPI, and CPR being necessary depending on the department's requirements.
