Job Title: Accounts Payable & Payroll Specialist
Location: Irmo, SC
Reports To: Owner/Office Manager
Job Summary
The Accounts Payable & Payroll Specialist is responsible for ensuring the accurate and timely processing of vendor payments and employee compensation. This role maintains the daily financial health of the organization by managing outgoing cash flow and ensuring compliance with federal and state labor and tax laws.
Key Responsibilities
Accounts Payable (AP)
- Invoice Management: Review, verify, and code invoices for accuracy and proper authorization.
- Three-Way Matching: Perform matching of purchase orders, receiving documents, and invoices to ensure valid disbursements.
- Payment Execution: Prepare and process weekly payment runs via ACH, wire transfers, and physical checks.
- Vendor Relations: Serve as the primary contact for vendor inquiries, resolve discrepancies, and maintain updated W-9 records.
- Month-End Support: Assist with AP accruals, aging reports, and bank reconciliations for financial closing.
Payroll Administration
- Full-Cycle Processing: Manage recurring payroll (weekly) for hourly and salaried staff.
- Timekeeping & Compliance: Verify timesheets, overtime, and deductions (taxes, 401(k), garnishments) to ensure legal compliance.
- Record Maintenance: Update employee data for new hires, terminations, and pay adjustments.
- Tax Reporting: Review/Prepare and pay weekly payroll taxes.
- Audits: Support internal and external audits by providing payroll registers and transaction documentation.
Required Skills & Qualifications
- Education: High School Diploma required; Associate’s or Bachelor’s degree in Accounting or Finance preferred.
- Experience: 2–4 years of experience in AP, payroll, or general accounting roles.
- Software Proficiency: Microsoft Office
- Accounting: QuickBooks Online
- Tools: Advanced Microsoft Excel
Soft Skills: Extreme attention to detail, ability to handle confidential data, and strong communication for vendor/employee disputes.
Pay: $24.40 - $29.38 per hour
