The Camp Grace Office Administrator supports the ministry of Camp Grace by providing exceptional administrative service, ensuring efficient office operations, and creating a welcoming experience for campers, parents, churches, volunteers, and guests. This position reflects Christ through professionalism, hospitality, integrity, and a commitment to excellence.
Position Summary
The Office Administrator serves as the primary administrative support for the visiting camp or organization program. This individual is responsible for managing user agreements, release forms, communication, financial transactions, office organization, and daily administrative functions while maintaining confidentiality and delivering outstanding customer service.
Essential Responsibilities
- Process guest/organization forms and maintain accurate records.
- Verify all required forms have been received, including:
- Medical Forms
- Liability Waivers
- User Agreements
- Certifications and Licenses
- Create a needs and preparations form based off the visiting guests requirements
- Organize check-in and check-out documentation.
Office Management
- Maintain an organized and efficient camp office.
- Answer phones and respond to emails professionally.
- Greet Camp Directors, parents, guests, volunteers, and church leaders.
- Manage incoming and outgoing mail and deliveries.
- Maintain office supplies and equipment.
Financial Responsibilities
- Collect donations.
- Process receipts and maintain accurate financial records.
- Create and maintain a detailed budget.
- Assist with camp purchases and transactions as assigned.
- Maintain confidentiality regarding financial information.
Communication
- Serve as the primary point of contact for the camp organization and all visiting/requesting guests.
- Communicate with guests regarding registrations.
- Coordinate information between camp leadership and staff.
- Coordinate staff-related meetings, schedules, upcoming events, and announcements.
Record Keeping
- Maintain guest user agreements/release forms and employee files.
- Prepare reports for camp leadership.
- Track collected feedback and make recommendations for improvement.
- Maintain emergency contact information.
Camp Support
- Assist as needed during camper check-in and check-out.
- Support camp events and special activities.
- Coordinate volunteer paperwork.
- Assist with staff scheduling as needed.
- Help ensure ACA standards and camp policies are followed.
Hospitality
- Welcome every guest with professionalism and Christ-like hospitality.
- Provide accurate information regarding camp facilities and activities.
- Create a positive first impression for all visitors.
QualificationsRequired
- High school diploma or GED
- Excellent organizational skills
- Strong communication skills
- Computer proficiency (Microsoft Office and Google Workspace, Excel)
