What are the responsibilities and job description for the Administrative Assistant position at Camp Chapel United Methodist Church?
Camp Chapel UMC is seeking a seasoned administrative professional for our Church Administrator position. This part-time position provides secretarial support to the Pastor, handles the administrative tasks of the church, and assists its members. Office hours are Monday - Thursday 9AM to 4PM. Church membership is not required.
Responsibilities:
- Answers the telephone, retrieves and handles the mail and related communications. Provides prompt response to calls and inquiries and escalates when appropriate to the Pastor, church committee or event coordinator.
- Assists with special event planning and communication. Assists members with scheduling events and key details. Money collection and registration for events is handled via the website. Coordinates event information between members and the webmaster.
- Prepares print and online materials such as bulletins, flyers, etc.
- Assists the newsletter editor and webmaster with content. Provides backup as needed.
- Works with the Pastor on Charge Conference reports and related correspondence.
- Assembles documentation and prepares requirements for Safe Gatherings and related background checks.
- Greets visitors and assists members. Serves as a liaison for onsite contractors or vendors.
- Manages church property use schedules, agreements with non-member users, and coordinates cleaning services.
- Maintains office equipment. Monitors and orders office and church supplies.
- Inputs annual contributions into Realm and sends statements to members via email.
- Provides names and addresses to the church auditor when requested.
Qualifications:
- High school diploma or GED with 3 years of administrative experience.
- Proficiency in Microsoft Office and PDF Editor.
- Website content management / editing and social media knowledge helpful.
- Experience working in a church or related environment a plus.
- Excellent customer service skills and ability to adapt style to meet the needs of the situation. (i.e empathy, compassion when interacting with members at difficult times)
- Maintains confidentiality and uses discretion.
- Ability to prioritize and multi-task
- Strong organizational skills
