JOB TITLE: Medical Staff Coordinator
SHIFT: FTE 1.0 (80 hours bi-weekly) Full-Time

Summary/Objective
The Medical Staff Coordinator is responsible for coordinating and maintaining the hospital’s medical staff and allied health professional credentialing, privileging, and administrative activities. This position serves as a primary liaison between the medical staff, hospital administration, clinical departments, and governing board. The coordinator ensures that medical staff processes are completed accurately, timely, and in accordance with applicable federal and state requirements, accreditation standards, Medical Staff Bylaws, and hospital policies.
The successful candidate will demonstrate exceptional attention to detail, organizational ability, professional communication skills, independent judgment, discretion, and the ability to establish effective working relationships with physicians and hospital leadership.
Essential Functions
- Coordinate initial appointment and reappointment credentialing for physicians, advanced practice providers, and other practitioners.
- Obtain and verify professional licenses, DEA registrations, controlled-substance registrations, board certification, education, training, work history, references, malpractice coverage, sanctions, exclusions, NPDB information and other required credentials. Monitor expirables.
- Coordinate clinical privilege applications and maintain current privilege delineations.
- Maintain complete, accurate and confidential Medical Staff and Quality files.
- Prepare credentialing and privileging files for Medical Staff committee review.
- Coordinate Medical Staff meetings, including agendas, minutes, reports and follow-up.
- Track Medical Staff recommendations through Governing Board approval.
- Coordinate administrative components of OPPE, FPPE and other practitioner performance-monitoring processes and maintain physician quality files.
- Maintain continuous survey readiness for Medical Staff Services.
- Assist with CMS, Indiana Department of Health and DNV/ISO surveys and audits.
- Maintain confidentiality of credentialing, peer-review and other protected Medical Staff information.
- Communicate professionally and effectively with physicians, advanced practice providers, Medical Staff officers, hospital leaders and external organizations.
- Perform other duties related to Medical Staff Services and hospital administration as assigned.
Qualifications
Experience
- Prior experience in medical staff services, credentialing, provider enrollment, healthcare administration, or hospital operations preferred.
Skills/Competencies
- Strong organizational and document-management skills.
- Ability to maintain confidentiality and handle sensitive information.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office
- MDStaff software experience preferred.
- Knowledge of basic medical terminology preferred.
- Understanding of credentialing DNV/ISO and CMS standards preferred.
- Demonstrated understanding of initial credentialing and re-credentialing practices for medical professionals including primary source verification methods, and compliance monitoring preferred.
- Understanding of OPPE/FPPE and peer review processes preferred

Education
- High school diploma or equivalent required; associate or bachelor’s degree in healthcare administration, business, or related field preferred.
Certifications
- CPCS or CPMSM certification preferred
