DEPARTMENT: Human Resources

JOB TITLE: Human Resources Assistant

SHIFT: 0.5, Part time (days, Monday-Friday)

 

Summary/Objective

The HR Assistant, under the supervision of the Human Resources Executive Director, assists HR team members with day-to-day operations of the department, including organized, safekeeping of HR documents and files. Coordinates the processing, organizing and storage of educational and licensure records for the hospital. Helps to coordinate activities and events for the Employee Engagement team.

 

Qualifications

  • H.S. Diploma or equivalent.
  • A degree in business, human resources, or similar is helpful but not required.
  • Strong knowledge of Microsoft Office, including Outlook, Word, Excel, PowerPoint; willingness and ability to learn other HR systems, including Paycom and Relias.
  • Must have a strong customer service mindset and an ability to quickly establish a rapport when meeting new people.
  • Must be dependable, keeping commitments, and completing assignments and responsibilities on time and within anticipated scope.
  • Must be able to work within a highly confidential environment, keeping information and documents confidential in support of compliance requirements.

Essential Functions & Performance Standards

  • Exemplifies good customer service.
  • Regular reliable attendance.
  • Maintain strict confidentiality and adhere to all hospital polices and procedures.
  • Assists HR team members in the receiving, tracking and sending of resumes/ applications to appropriate hiring supervisor/director; completes reference checks and other Talent Acquisition and Onboarding activities as requested.
  • Assist with Bi-weekly orientation tasks.
  • Coordinates for annual check day program, sending reminders of outstanding documents and coursework.
  • Ensures clinical staff licenses are kept on file and up to date at all times. Works with pre-hires, employees and department Directors when necessary to ensure licensure information is obtained prior to onboarding and during employment in the event of license expiration.
  • Assists other team members in processing bi-weekly payroll; inputs new hire and other employee changes into HR systems in an accurate and timely manner.
  • Processes ID badges for employees, volunteers, and contracted employees.
  • Updates job postings as requested, including on-line postings.
  • Assists HR team members with the completion of pre-employment background checks per policy.
  • Performs a wide variety of clerical and administrative tasks and duties in support of the HR department.
