An Administrative Assistant to Finance and Operations acts as a pivotal support role, ensuring the efficient, compliant, and daily functioning of the school district's business office.
Qualifications
- High School Diploma required but college degree preferred.
- Pass all background checks and screenings.
- Previous experience in school finance, accounting, or administrative roles
- Familiarity and competency using Google Workspace, Infinite Campus, Frontline Education and/or SISFin software preferred.
REPORTS TO: Assistant Superintendent, Finance and Operations
Essential Functions And Key Responsibilities
- Front Desk Coordinator
- Provide high-level administrative support to the Assistant Superintendent of Finance, including managing calendars, scheduling meetings, and screening calls.
- Assist with accounts payable/receivable, purchase orders, invoices, budget amendments, and expense reimbursements.
- Maintain accurate manual and electronic files, including budget data, records, and financial reports.
- Prepare financial documents, reports, and agenda materials for Board of Education meetings and assist with state department of education reports.
- Assist with internal and external audits, ensuring compliance with state and federal regulations.
- Serve as a contact point for the finance department, addressing inquiries from staff, vendors, and parents.
- Handle district property, liability insurance renewals, and process bonds/licenses.
- Responsible for maintaining the District's capital inventory and coordination with each building/department.
- Central Administration's office supply management
- USPS mailing for the district includes postage machine operations, supply management and sorting of mail to buildings for delivery.
- Facilitate District Building School Supply Lists to go to retail stores.
- Manage enrollment and releases for the Mary Dickerson Justice Center.
- Assist with substitute placements and calls.
- Assist with payroll and bookkeeping teams as needed.
TERMS OF EMPLOYMENT
- 250 days; 8.0 hrs / day. Does not include a 30 minute lunch.
- Pay Range: $16.75 - $17.05 (allow up to 7 years of commensurate years of service)
- Benefits include Board paid health insurance, paid sick leave, retirement and other.
