Overview of Cambridge Public Schools:

Cambridge is a vibrant, diverse city as well as a central hub of the nation’s innovative economy. Educating approximately 7,000 students PreK–12 , the Cambridge Public Schools consists of diverse and dedicated faculty, cutting-edge technology, and innovative programs. While each of the CPS school communities is unique, they are joined in a shared vision of rigorous, joyful, and culturally responsive learning. Over 30% of CPS students speak a language other than English at home, and more than 70 languages are represented across the district. Our schools proudly embrace this linguistic and cultural diversity while striving to establish high expectations for all students.

The Opportunity:

The Human Resources Clerk Specialist works under the direction of the Executive Director of Human Resources and reports directly to the Senior Human Resources School Partner. As a primary point of contact for the Office of Human Resources, the Human Resources Clerk Specialist provides high-quality customer service to employees, applicants, administrators, retirees, and members of the public while supporting the day-to-day operations of the department.

The Human Resources Clerk Specialist supports a broad range of Human Resources functions, including recruitment and job postings, new employee onboarding, Human Resources Information Systems (HRIS), licensure, service agreements, benefits enrollment documentation, personnel records, and employment transactions. The position works collaboratively with Human Resources School Partners, the Benefits and HRIS team, and other district and school-based teams to support accurate and timely completion of Human Resources processes.

Key responsibilities:

Human Resources Customer Service & Operations

  • Serve as a primary HR contact, providing timely and professional support to employees, applicants, administrators, retirees, and the public; respond to inquiries, explain established HR programs and procedures, prepare HR documentation, maintain records, and support department initiatives.

Recruitment & Onboarding

  • Support recruitment, hiring, and onboarding processes by managing job postings, coordinating TalentEd onboarding and required documentation, supporting employment qualification and DESE licensure verification, tracking onboarding requirements, and coordinating with HR, Benefits, HRIS, hiring administrators, and other district teams.

HRIS & Personnel Transactions

  • Maintain accurate employee data and process routine personnel transactions in PeopleSoft and other HR systems; conduct data quality reviews, maintain records and reports, provide functional support for HR technology, and troubleshoot routine system and workflow issues.

Service Agreements & Administrative Support

  • Coordinate Service Agreement processing, including reviewing, entering, tracking, and following up on submissions; provide administrative support through scheduling, correspondence, records management, meetings, projects, and other HR operations, including backup support during high-volume periods.

Additional responsibilities may be assigned as necessary to meet the evolving operational needs of the schools, district, and Office of Human Resources.

Your Skill Set:

As the incoming Human Resources Clerk Specialist you will possess many, though perhaps not all, of the following characteristics and qualifications:

  • A minimum of four years of Human Resources experience is required, with Human Resources experience in a diverse, urban public school district, other school setting, or municipal environment strongly preferred.
  • Excellent interpersonal, verbal, and written communication skills.
  • Proactive, dependable, and reliable self-starter committed to producing accurate, high-quality work.
  • Strong problem-solving skills and the ability to work effectively in a collaborative, team-oriented environment.
  • Demonstrated ability to manage multiple priorities and competing deadlines in a fast-paced office while providing support and backup to other department staff as needed.
  • Strong organizational skills and demonstrated discretion when handling sensitive employee and personnel information.
  • Experience with PeopleSoft, TalentEd, SchoolSpring, Droplet, Google Workspace, and Smartsheet is highly desirable.
  • Strong proficiency in Microsoft Excel, business writing, and document production, including the preparation of professional correspondence, memoranda, emails, brochures, reports, and other Human Resources materials.
  • Flexibility to work overtime as operational needs require.
