Cambio Consulting Group LLC is seeking a reliable and detail-oriented Mail Room Clerk to support daily mail center operations at the U.S. Office of Personnel Management (OPM) Headquarters in Washington, DC. This full-time federal contract position offers stable weekday hours, a professional government work environment, and no nights or weekends.
Working within OPM’s Facilities Management Branch at the historic Theodore Roosevelt Federal Building, the Mail Room Clerk plays an essential role in supporting federal operations by processing and distributing approximately 1.2 million pieces of mail annually and assisting agency customers, including the White House Fellowship program.
This position is fully onsite at Room B431, Theodore Roosevelt Federal Building, 1900 E Street NW, Washington, DC. This is a fully onsite position. No remote work is available for this role. Days/Hours: Monday through Friday, 7:00 AM – 4:30 PM EST
Candidates must be able to pass a federal background investigation prior to beginning work.
Minimum Qualifications:
- Minimum of one (1) year of work experience in mail handling and distribution.
- Valid driver’s license required to operate a government vehicle.
- Ability to lift and handle items frequently weighing in excess of 50 pounds; ability to stand for extended periods, reach, stoop, kneel, crouch, and crawl.
- Ability to read, write, speak, and understand English fluently; capable of reading. printed and cursive writing to research addresses and follow written instructions.
- Proficiency with Microsoft Outlook for internal address validation.
- Must be eligible to pass a federal background investigation (U.S. Citizenship required).
- Must pass an annual OPM IT Security Awareness training requirement
Preferred Qualifications
- Familiarity with USPS five classes of mail and commercial courier services (FedEx, UPS, DHL)
- Experience operating postal metering equipment and postage tracking systems
- Prior experience in a federal agency mailroom environment
- Knowledge of accountable mail procedures and chain-of-custody documentation
Key Duties and Responsibilities:
Incoming Mail Operations
- Receive and process daily incoming mail from USPS, FedEx, UPS, and other courier services
- Accept and sign for accountable mail including certified, registered, insured, and express mail
- Maintain 100% chain-of-custody documentation for all accountable and signature-required items from receipt to delivery
- Conduct four (4) scheduled daily mail runs within the Theodore Roosevelt Building: early morning lockbox run at 7:00 AM, mid-morning mail run at approximately 9:30 AM, afternoon mail run at 2:00 PM, and end-of-day lockbox closeout
- Deliver accountable mail and parcels to addressee or designee within two (2) hours of receipt and obtain signed acceptance
- Segregate and research insufficiently addressed mail using Microsoft Outlook for address validation
- Support x-ray screening at the loading dock as directed by OPM Security staff
Outgoing Mail Operations
- Collect, meter, and prepare all outgoing mail and parcels using mailroom postage metering equipment; apply the appropriate account number and postage to each piece
- Process outgoing express and overnight parcels (FedEx, UPS, DHL) per customer instructions; deliver to loading dock in advance of scheduled carrier pickup times
- Place mail in appropriate trays/tubs and deliver to loading dock at least 30 minutes before scheduled USPS pickup (approximately 3:15 PM daily)
- Contact USPS dispatch if truck has not arrived by 8:00 AM, 9:00 AM, 11:00 AM, or 3:30 PM as required
- Monitor UPS drop boxes and notify originators of any parcels rejected by private carriers
- Select the most cost-effective shipping method (USPS, UPS, or contracted courier) based on customer needs
Internal Distribution and Customer Service
- Sort and distribute internal interoffice mail and materials using government-provided distribution lists
- Provide customer service at the Mailroom Customer Service Desk from 7:00 AM to 4:30 PM, offering advice on packaging, postage rates, mail instructions, and shipping options
- Assist OPM customers with folding, insertion, labeling, and packaging services; complete packaging requests no later than one (1) business day after receipt
- Retrieve bulk mail from floors and bring to Mailroom for processing upon request
- Process and distribute specialized jobs including shrink wrap, annuitant correspondence, and retirement benefit materials
Administrative and Compliance
- Maintain a Daily Work Log of all mail pickups and deliveries; submit cumulative statistics to the COR/COTR weekly and monthly
- Compile and submit monthly workload reports including outgoing mail counts by mail code and incoming counts by mail stop
- Safeguard and lock all accountable mail and items containing Personally Identifiable Information (PII) until properly delivered
- Handle Treasury checks per established procedures; hand-deliver NARFE Premier Federal Credit Union checks directly from the Mail Center upon receipt
- Operate government vehicles to provide mail services to OPM satellite locations and other drop-off/pick-up points in the Metropolitan Washington Area including USPS facilities and White House Fellowship
- Report equipment malfunctions and space condition issues (temperature, ventilation) to the Mail Operations Center Supervisor within 30 minutes of identification
- Complete OPM annual IT security training requirements
