SUMMARY STATEMENT
The Upper School Admin Assistant supports the mission of the school by providing clerical support for the Upper School Principal and staff. This document provides a framework of qualifications, duties, and responsibilities to assure the orderly operation of the Upper School which reflects the exemplary education provided for students in seventh grade through twelfth grade.
PRINCIPAL DUTIES
Spiritual–The Upper School Administrative Assistant shall:
- seek to be a role model in attitude, speech, and action with a consistent daily walk with Jesus Christ.
- show by example the importance of Scripture study, prayer, witnessing, and unity in Christian fellowship.
- follow the Matthew 18 principle in dealing with students, parents, staff, and administration,
Essential Functions–The Upper School Administrative Assistant shall:
- accurately record attendance including absences and tardies for upper school students and respond to parent emails and phone calls regarding attendance.
- perform diverse office-related managerial responsibilities within areas and limits of authority as delegated by the Principal; coordinate and organize office activities and coordinate flow of communications and information for the Principal.
- handle routine issues and emergencies concerning employees and students, make decisions independently or collaboratively, and recommend action as appropriate.
- maintain confidentiality of various aspects of school operations including sensitive and personal information.
- receive and greet visitors and provide information to parents and the public; screen
correspondence and telephone calls for the administrator and staff.
- operate various office equipment, including the US copiers, fax machine, two-way radio, computer, and assigned software.
- track and order assigned school supplies according to established procedures and ensure appropriate supplies are maintained.
- administer first aid, and dispense approved medication to students following organizational policy as assigned when the medical staff is unavailable or as needed.
- facilitate smooth operations of the high school office, including greeting and assisting visitors and students, answering the telephone, ordering staff room supplies, receiving and distributing mail.
- promote positive relations with parents and students.
- Plan and order food for US monthly faculty meetings and other meetings, as needed
- serve as purchasing agent for the upper school, reconcile VISA statements, pay requests for reimbursements, and keep track of staff spending.
- submit maintenance requests for Upper School through Espace work orders.
- coordinates with Chick-fil-A to schedule sandwich lunches on Fridays and ensure orders are accurately received on time.
- celebrate staff birthdays.
- be responsible for logging parking information for eligible drivers requesting to park in the day school parking lot.
- be responsible for documenting and tracking Excused Absence Requests
- Summer Duties include:
- Collaborate with teachers to order specific classroom supplies for the upcoming school year; distribute classroom supplies and curriculum materials.
- Establish and actively manage a maintenance log to effectively track repair needs in the upper school.
- Work with administration to assess the upper school's classroom furniture needs, order and ensure correct delivery and set up.
- Design the bulletin board outside the office that will effectively communicate and inspire enthusiasm for our school theme.
- Work with Administrative Assistant to US Leadership in planning graduation and associated activities
- Work with school photographer(s) throughout the year to facilitate all photography needs in Upper School
- report suspected abuse to North Carolina's child protection agency or the police in the county where the juvenile resides, if for any reason he/she has reason to suspect that a child is abused, neglected, or has died as the result of maltreatment
- perform a variety of related duties and special projects as assigned by Upper School leadership
