Provide Direct Afterschool Program Oversight

Directly supervise assigned afterschool program site operations, including afterschool program personnel. Utilizing a structured schedule, regularly travel to assigned school sites sanctioned as CTFF afterschool programs. Provide support to program site coordinators and tutor personnel, including the communicating and reinforcing of company policy and program guidelines. During each visitation, document your observations of the afterschool program’s overall performance, such as the status of site operations, employee concerns, areas which may need improvement, program successes and accomplishments, and relations with school district personnel. Maintain documentation of site observations consistent with company policy. Submit completed documentation of site observations and recommendations to the program director and immediately report any employee issues that require immediate attention or investigation. Regularly monitor and problem solve employee performance issues in cooperation with program site leadership and the company human resources department.

Regularly exercise discretion and independent judgement involving: 1) the evaluation of observation reports received from program site coordinators where the basis of findings leads to changes in procedures, performance standards or operations; 2) the screening, interviewing and hiring of applicants, including reclassification of existing personnel; 3) the development of methods, procedures and standards for afterschool program personnel (e.g., tutoring procedures, how tutors are evaluated, employee performance standards, procedures related to the interaction with school administrative and district personnel; and 4) participate in the formulation of afterschool program policies within the scope of the job (e.g., afterschool programming, supervision of afterschool program sites and personnel).

Conduct periodic performance evaluations of program site coordinators and tutors, including the planning of long and short term performance goals and objectives. Serve as a mentor to site coordinators and provide supportive consultation regarding the day-to-day operations of their afterschool program. Maintain healthy and productive relationships with school site administrative personnel and school district personnel, such as the school principal, vice principals, related administrative staff and district officials and representatives. Cooperatively work with school site administrative personnel in meeting CTFF contractual goals, fostering a productive afterschool program, representing CTFF through the communicating and enforcing of company policy and procedures, and making recommendations consistent with policy and program operations. Regularly attend and represent CTFF at scheduled meetings at school sites, including school district or county offices of education for which you are assigned. Keep up-to-date with changes that may affect CTFF afterschool programs (e.g., changes in grant funding, budgeting) and communicate such changes to site coordinators with recommendations.

Regularly review and respond to email communications from afterschool program site personnel; following company procedures, complete and submit necessary company forms in connection with changes in employee status, enforcement of company policies, disciplinary notices, site observations and any other related tasks; and schedule meetings with employees, as needed. (Applicable to North and South Regions) Maintain regular attendance record as a requirement in meeting grant funding requirements. Regular review attendance records for accuracy and adherence to grant funding terms and conditions. (Performs approximately 60% of day)

Budgeting

If applicable, establish budgets for certain afterschool program sites. Allocate appropriate grant funds using discretion and independent judgement as to the financial needs of the programs. Submit reports to the appropriate state agency as to the status of the budgets. Prepare for financial audits conducted by the California Department of Education and School District officials (internal audits). (Performs approximately 5% of day)

Recruitment, Interviewing, Hiring and Placement

As directed, assist the human resources department with company recruitment efforts. Regularly review PayCom for job applicants assigned to your region. Schedule initial interviews of job applicants for placement consideration at assigned afterschool program sites. Make hiring decisions from qualified job candidates and facilitate the placement of new hires. In cooperation with the company human resources department, prepare new hires for their initial job placement. Assign temporary placement of substitute personnel at job sites where employee absences were reported. Reclassify existing afterschool program site personnel as required, such as changes in employment status, demotion, promotion, and job reassignment. (Performs approximately 20% of the day)

Academies

Attend and support the academies held monthly. Assist with coordination of academy trainings or activities. Serve as an academy trainer. Prepare appropriate training curriculum and other related instructional materials. Regularly communicate upcoming academies to personnel and enforce attendance requirements. Ensure academy content is being regularly communicated to personnel. (Performs approximately 10% of the day)

Perform Other Duties as Assigned

Follows direction set by the program director. Offer opinions and recommendations of proposed action and decisions that could enhance program efficiency and operations. Attend staff meetings. Perform other duties as assigned. (Performs Approximately 5% of day)

A minimum of a four (4) year college degree in business management or administration is highly preferred; prefer 3 to 5 years of direct related work experience, including work with non-profit organizations in an educational setting; strong demonstration of experience working with children in the field of youth development and community service; must possess a California Class C driver’s license in good standing; possess a genuine desire to see youth aspire in their educational accomplishments and goals; be able to communicate in and understand the English language with knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar; must be able to demonstrate exceptional written, verbal, and interpersonal communication skills; be able to lead and motivate groups and individuals; be able to think creatively and strategically; successfully mediate and negotiate with individuals and groups internally and externally; possess strong project management skills and be able to balance competing priorities, complex situations, and tight deadlines; and possess excellent skills in word processing, working with databases, and using Microsoft Office products, such as Word, Excel, and Outlook. The position requires proven leadership skills, general understanding of human resources management and business operations. Must possess high business ethical and moral standards, attributes of honesty and trustworthiness, respectful and sensitive of others, cultural awareness, flexibility, and sound work ethic. Must be able to work in a fast paced environment; multi-task various assignments given; and be able to meet set job related goals, objectives and timelines.
