General Description
The position provides highly skilled administrative support to the Executive Officers, Board of Directors and the Department Manager covering a wide range of subject areas. It also provides a high level of technical support and expertise in the delivery of the department’s services and programs. It directly supports the Executive Officers, management’s labor relations programs and processes, and employee relations programs and procedures. The confidential and sensitive nature of the work performed by this position requires the incumbent to work collaboratively, exercise self-initiative, good judgment, and a thorough knowledge of internal management policies and procedures.
Duties and Responsibilities
Incumbent may perform any combination of the tasks listed below:
- Assists in the preparation of materials that relate to Management's strategies and positions relative to the negotiation process with the employee bargaining units.
- Assists in typing, duplication and filing written materials used in determining and effecting Management policies directed toward the employee bargaining units.
- Provides a variety of assistance in support of State Council and the NEA Representative Assembly both in the office and onsite, as assigned.
- Arranges meetings, catering and conferences, as necessary.
- Provides administrative support to the Executive Officers, the Board of Directors and the Department Manager, as needed.
- Prepares materials for the agenda of the Board of Directors Meetings.
- Composes and prepares correspondence on matters for the CTA Executive Officers, as assigned.
- Maintains and coordinates calendars for the Executive Officers, including coordinating requests for conferences and appointments, arranging appointments, meetings, and meeting facilities and making hotel and travel arrangements for the Executive Officers and Board members, as required.
- Handles and responds to inquiries and requests made to the Executive Officers, and directs such inquiries and requests to related departments, offices, and agencies of CTA, as appropriate.
- Reconciles member expenses for payment.
- Processes Board expense statements for payment.
- Plans, coordinates and follows through on complex logistical projects, as assigned.
- State Council attendance required.
- Attendance at the NEA Representative Assembly as assigned.
- Performs other appropriate duties and special projects as assigned by the Manager.
Qualifications
- Bachelor's degree, or Associate degree and four (4) years of administrative experience.
- Ability to communicate CTA structure, policies and procedures.
- Demonstrated ability to exercise sound judgment.
- Demonstrated ability to follow through on work assignments with minimal supervision.
- Demonstrated ability to effectively organize work, set priorities, maintain confidentiality, and exercise self-initiative.
- Demonstrated ability to write, edit and communicate effectively.
- High proficiency in secretarial skills including letter, memorandum and report formatting, punctuation and spelling.
- Proficient word processing skills with minimum keyboarding speed of 55 WPM.
- Computer proficiency and the ability to learn and use the Association’s software programs.
- Demonstrated ability to function effectively under pressure and solve routine office problems within established departmental procedures.
- Demonstrated ability to relate well to CTA leadership, members, management, staff and others.
- Demonstrated ability to exercise planning, coordinating and follow-through skills as applied to large complex logistical projects.
- Required to work holidays and weekends as needed and assigned.
- Ability to work overtime as needed.
- Ability to travel as needed.
Desirable Additional Qualifications
- Extensive knowledge of CTA's organizational structure, departmental functions, executive and policy-making bodies and staff structure.
