Position Summary
The Lead Health Information Management (HIMS) Specialist serves as the primary resource for the Health Information Management team while actively performing day-to-day medical records responsibilities. This role provides guidance, training, and workflow support to team members, ensures compliance with regulatory requirements, and promotes the accuracy, integrity, and security of patient health information.
Essential Duties & Responsibilities
- Serve as the lead resource for the HIM team, providing daily guidance and support.
- Assist with onboarding and training new employees.
- Monitor work queues and assign priorities to ensure timely completion of departmental tasks.
- Perform quality assurance audits and provide feedback to improve accuracy and efficiency.
- Assist leadership with workflow improvements, policy implementation, and departmental initiatives.
- Serve as the primary point of contact for HIM-related questions and issue resolution.
- Escalate operational concerns to management as appropriate.
- Health Information Management
- Maintain complete, accurate, and confidential patient medical records.
- Process medical record requests in accordance with HIPAA and applicable state and federal regulations.
- Scan, index, and upload documents into the Electronic Medical Record (EMR).
- Monitor provider chart deficiencies and follow up to ensure timely completion.
- Perform routine audits to ensure documentation accuracy and regulatory compliance.
- Manage record retention, archival, and destruction according to organizational policy.
- Support Release of Information (ROI) requests.
- Collaborate with providers and clinic staff to resolve documentation issues.
- Assist with accreditation surveys, compliance audits, and regulatory reporting.
- Generate reports and maintain department metrics.
Qualifications
- High school diploma or GED required; Associate degree in Health Information Management preferred.
- RHIT, RHIA, or equivalent certification preferred.
- Minimum of 3 years of Health Information Management or medical records experience.
- Previous experience serving as a lead or senior team member preferred.
- Strong knowledge of HIPAA, medical terminology, and healthcare documentation standards.
- Experience with electronic medical record systems.
- Proficient in Microsoft Office and Google Workspace applications.
