Description of Responsibilities
The IT Operations Coordinator provides organizational and administrative support to ensure the IT department runs
smoothly and efficiently. This role focuses on coordination, documentation, scheduling, and communication, acting as the
central point of contact between IT staff, vendors, and internal departments. The ideal candidate will have strong
organizational skills, attention to detail, and the ability to keep multiple tasks moving forward in a structured and timely
manner.

Responsibilities include, but are not limited to:
Administrative & Coordination
• Serve as the first point of contact for IT-related inquiries and escalate issues to appropriate technical staff.
• Track and manage IT service requests, ensuring timely follow-up and closure.
• Coordinate onboarding and offboarding processes (e.g., collecting equipment, ensuring access requests are
submitted, updating checklists).
• Schedule and track IT maintenance windows, meetings, and project milestones.
• Assist with procurement of IT equipment, licenses, and services by managing vendor quotes, purchase requests,
and renewals.
Documentation & Reporting
• Maintain IT asset inventory, license records, and user access logs.
• Ensure all IT procedures, policies, and playbooks are updated and properly documented.
• Track and report on IT department metrics (e.g., ticket volumes, request turnaround times, compliance tracking).
• Support compliance and audit preparation by organizing documentation and ensuring records are complete.
Communication & Vendor Support
• Communicate system updates, outages, and IT announcements to staff in a clear and timely manner.
• Coordinate with vendors for service requests, quotes, renewals, and escalations.
• Support IT leadership with status updates, scheduling vendor meetings, and managing follow-ups.
Required Skills/Abilities:
• Excellent organizational skills and attention to detail.
• Good problem-solving skills.
• Basic Knowledge of IT principles and practices. (help desk, ticketing systems, asset tracking).
• Extensive knowledge of office management systems and procedures.
• Ability to operate general office equipment.
• Excellent written and verbal communication skills.
• Ability to type 60 words a minute.
• Proficient in Microsoft Office Suite or similar software.
• Ability to maintain confidential information.
Qualifications and Preferred Skills
• Associate’s or Bachelor’s degree in Business Administration, Information Systems Management, or related field
(or equivalent experience).
• 2 years of experience in an administrative, coordinator, or operations role (IT, healthcare, or corporate setting
preferred).
• Strong organizational and project coordination skills.
• Excellent written and verbal communication abilities.
• Proficiency in Microsoft Office 365, Teams, and basic project management or workflow tools (e.g., Smartsheet,
Asana, or equivalent).
• Ability to work collaboratively across teams and manage competing priorities.
