California Miramar University seeks an experienced Registrar to lead the Office of the Registrar and serve as the institution's authority on academic records. The Registrar evaluates incoming transcripts, verifies grade point average against admission and progression standards, and renders transfer-credit and course-equivalency determinations. 


Beyond evaluation, the Registrar maintains the integrity of the academic record from enrollment through graduation, oversees registration and course scheduling, ensures compliance with FERPA and applicable accreditation and regulatory requirements, and supervises the Assistant Registrar. The position works in close partnership with Admissions, Financial Aid, Academic Affairs, and faculty to support student persistence and completion.


Schedule: This position is performed on-site at the University's San Diego campus (92108), Monday through Friday, 10:00 a.m. to 6:30 p.m. Applicants must be able to commute to San Diego and be available for this schedule.


Key Responsibilities:


  • Transcript and credit evaluation. Evaluate incoming transcripts, verify grade point average against admission and progression standards, determine transfer credit and course equivalency, and conduct degree audits. Apply the University's foreign-credential policy and coordinate with external evaluation services as required.
  • Academic records. Maintain accurate and current student records, including enrollment status, transcripts, academic progress, and degree audits, and uphold the integrity of all academic data released by the office.
  • Registration and scheduling. Manage course registration and enrollment processing, oversee course scheduling, and ensure each student's record remains complete, compliant, and aligned with the student's academic plan.
  • Compliance and reporting. Ensure compliance with FERPA, BPPE, IPEDS, and Satisfactory Academic Progress requirements, and prepare academic records, data, and documentation for accreditation reviews and audits, including DEAC and VA compliance.
  • Attendance monitoring. Monitor and report student attendance, working directly with faculty to ensure timely and accurate reporting in support of academic success and regulatory compliance.
  • Academic advising and student services. Provide proactive advising on registration matters, program changes, and degree completion requirements. Process student service requests, including transcript issuance, enrollment verification, and graduation documentation.
  • Student success initiatives. Contribute to institutional retention, persistence, and graduation strategies, and collaborate across departments to support a student-centered culture.
  • Office leadership and operations. Supervise the Assistant Registrar, establish and document workflows and procedures, and identify opportunities to improve the efficiency of registrar operations. Administer the student information system and provide basic guidance to students on navigating the learning management system.


Key Required Qualifications:

  • Bachelor's degree from an accredited institution.
  • Minimum of three years of experience in a registrar's office or comparable academic records function.
  • Demonstrated hands-on experience evaluating transcripts, determining transfer credit or course equivalency, and conducting degree audits.
  • Working knowledge of FERPA and the requirements governing the confidentiality, accuracy, and integrity of student records.
  • Experience with a student information system and a learning management system, and the ability to become proficient in the University's platforms. Candidates experienced with CampusVue, Populi, Anthology, Jenzabar, Banner, or comparable systems are encouraged to apply.
  • Demonstrated ability to interpret academic policy, program requirements, course prerequisites, and degree plans, and to explain those interpretations clearly to students, faculty, and staff.
  • Strong attention to detail, with the ability to maintain accurate records while managing multiple deadlines and competing priorities.
  • Proficiency with Microsoft Office or Google Workspace, including spreadsheets and reporting.


Preferred Qualifications:

  • Master's degree in higher education administration, student affairs, education, business administration, or a related field.
  • Direct experience with CampusVue, Populi, or Moodle.
  • Experience preparing academic records and reports for DEAC, BPPE, or VA review.
  • Experience evaluating foreign credentials or working with NACES-member evaluation services.
  • Experience supporting online, adult, international, or nontraditional student populations.
  • Prior experience supervising staff, assigning work, or leading student-records operations.


Compensation and Benefits:

  • $70,000 – $85,000 per year, commensurate with experience.
  •  Medical, dental, and vision coverage; paid time off
