Overview
The Administrative Assistant position is responsible for a variety of office and executive support functions. From answering phones and greeting visitors, to organizing and filing critical documentation, this position is integral to many aspects of our business. The person in this role needs to be professional, organized and a quick study to learn new things and quickly adapt to a fast-moving business environment. The Administrative Assistant shall conduct themselves in a professional and ethical manner and be dedicated to the company and its success.
Duties
- Serve as primary lead receptionist and office manager.
- Answer phones and greet visitors to the office.
- Ensure office is fully stocked with office supplies, etc.
- Manage conference room schedule and coordinate meeting reservations.
- Manage office phone system and shared multi-function printer.
- Handle incoming and outgoing mail / overnight packages.
- Support management with various administrative needs including document retrieval and filing, Doc-U-Signs for electronic document execution, meeting minutes transcription and creation of project binders, etc.
- Track and file critical insurance policy information. Coordinate with broker on new insurance requests and required policy changes.
- Handle travel arrangements for management trips.
- Assist with new loan and escrow documentation. Also collect supporting documentation for construction loan draws, etc.
- Light accounting support duties for management, project needs or accounting department.
- Corporate document filing for various corporate entities, and handling of Secretary of State filings.
- Assist with human resource functions.
- Provide notary services as needed.
Experience
- Proven clerical experience in an office setting with strong computer literacy and technical proficiency in Microsoft Office Suite and Google Workspace
- Familiarity with office management procedures, including filing systems, data entry, and calendar coordination
- Experience handling multi-line phone systems, phone etiquette, and customer support roles such as front desk or medical/dental receptionist duties
- Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively
- Strong attention to detail for proofreading documents and maintaining accurate records
- Able to work well within a team environment

Pay: $20.00 - $30.00 per hour
